Steps: Set Up Student Notes

You can document, organize, and share notes about prospects, applicants, and students. Notes enable you to capture and communicate important information, such as conversations and decisions, to others in the institution. You can also optionally share notes with the student.
Workday enables you to configure:
  • Notes categories and topics for your institutions.
  • Related objects for each note category.
  • Segments for notes categories and topics, then add security groups to these segments.
On the
Add Student Note
task, Workday displays recommendations for the
Note Topic(s)
prompt by default. Workday uses machine learning to determine these recommendations based on your most recently and frequently used selections. You can optionally disable these recommendations. See Concept: Form Completion Assistant.
  1. Edit Domain Security Policies.
    Configure these domains in the Campus Engagement functional area:
    Domain
    Description
    Manage: Add Student Notes
    Enables you to access the
    Add Student Notes
    task to create student notes. When adding a student note, you can select to share it with the student.
    You also have access to the
    Edit Student Note
    task, but you can only edit notes that you create.
    The domain also gives you access to the
    View Student Note
    and view the
    Student Notes History
    reports.
    You have the option to restrict access to the
    Segment - Student Note Categories and Topics
    security group type.
    Manage: Delete Student Notes
    Enables you to delete Student Notes from the
    Note History
    report on the History profile group of a student profile. You can delete a student's notes from the
    Student Notes
    Delete
    related actions menu of the
    Note Content
    .
    Manage: Student Notes – Edit Notes Created by Others
    Enables you to edit notes created by other users from the
    Edit Student Note
    task.
    You have the option to grant access only to the
    Segment - Student Note Categories and Topics
    security group type.
    Manage: Student Notes Integration
    Grants access to the
    Get Student Notes
    ,
    Put Student Notes
    , and
    Import Student Notes
    web services.
    Reports: Student Notes
    Grants access to create, edit, and view reports on Student Notes, created using the
    Student Notes
    reporting data source.
    You can configure segment-based constrained security group types on the domain.
    Self-Service: Student Notes
    Enables students to view notes that note creators share with them.
    Set Up: Student Notes
    Enables you to configure categories and topics for Student Notes.
    Set Up: Students Notes Security Segment
    Enables you to create, delete, edit, and view Student Notes security segments.
  2. Access the
    Maintain Student Note Categories and Topics
    task.
    Add notes categories and topics for your institution.
    For each
    Category
    , select 1 or more
    Relates To
    objects. Create topics under each Category and Relates To.
    Security:
    Set Up Student Notes
    domain in the Campus Engagement functional area.
  3. Access the
    Create Student Note Security Segment
    task.
    Create security segments for each note category and the topics under it. Add the student notes categories and topics to the appropriate segments:
    • Create Student Note Security Segment
    • Delete Student Note Segment
    • Edit Student Note Security Segment
    • View Student Note Security Segment
    You can use the
    Maintain Student Note Security Segments
    task to create new security segments, then add categories and topics under the segments.
    Security:

  4. Create security groups and give them appropriate access to the segments you create for each note category and topic.
  5. Activate Pending Security Policy Changes.
  6. (Optional) Create Custom Reports.
    Use the
    Data Source
    Student Notes
    .
You can view notes on the
Student Note History
report on the History profile group of the student profile.
You can see only those segments, and note categories and topics you have access to.
Create a note by selecting
Note
Add Student Note
from a student's related actions menu.
