Steps: Set Up Student Engagement Printed Items
- Security:Custom Report Creationdomain in the System functional area.
- Workday Studio.
Configure printed engagement items to use for student engagement plans.
- Configure thePrinted Engagement Item Assignment Eventbusiness process and security policy in the Campus Engagement functional area.
- Ensure that the appropriate users or groups have permissions to send and view printed items on the business process.
- Configure approvals. See Concept: Approval Step.
- Select on thePrinted Engagement Item Assignment Eventbusiness process.See Edit Business Processes.Ensure that the:
- Send Printed Engagement Itemstep is configured.
- Admissions Counselor as Selfor an appropriate security group is configured for the action step.
- Create a custom report.
- Export and create the business form layout for the report.
- Ensure that all the student prospects have a form of address in their contact information.You can use theStudent Prospect Records for Printingreport data source to run a custom report.
- Ensure that the mail coordinator can run the print task.
- Run theFind Student Engagement Itemsreport and select the printed item.
- From the related actions of theAcademic Unit, select .
- Example: Add the roleStudent Recruiting Manager. Select the appropriate Admissions Counselor.
- Verify that the Admissions Counselor or appropriate user matches the Mail Coordinator on theStudent Printed Item.
- Create your engagement plan.
- Ensure that theCategory,Academic Unit, andAcademic Levelof the plan matches theStudent Printed Item.
- ClickAddto add your printed item to the plan. ForItem Type, selectPrinted Item. ForItem, select the printed item to send.
- Select aSchedule.
During the scheduled run, Workday sends out a
Send Printed Item
task to the My Tasks of the admissions counselor or specified user group.Send printed items to students. See Concept: Sending Printed Engagement Items.
