Concept: Recipient Threshold for Engagement Plans

By default, sending an engagement plan to over 1,000 recipients at the same time requires approval. You can change the threshold.

Setting a Threshold

  • Configure the
    Engagement Recipient Threshold Event
    business process and security policy in the Campus Engagement functional area. Designate an approver, such as
    Student Recruiting Manager (By AU)
    .
  • Change the threshold by accessing the
    Maintain Student Engagement Settings
    task, secured to the
    Manage: Sending Campus Engagement
    domain in the Campus Engagement functional area.
    A threshold of zero or blank means that all items require approval, regardless of the number of recipients.
  • Change the threshold on the plan itself. Enter a new threshold in the
    Recipient Threshold
    field on the
    Create Student Engagement Plan
    or
    Edit Student Engagement Plan
    tasks. Security:
    Modify
    access on the
    Manage: Sending Campus Engagement
    domain.
  • Use the
    View Student Engagement Settings
    report to view all recipient threshold settings within your institution.

When Recipients Exceed the Threshold

Workday sends an approval request to the designated approver when you exceed the threshold.
When the approval request is:
  • In progress
    (awaiting approval): Workday doesn't send the plan to anyone, even if you edit the recipient threshold to reduce the number of recipients.
  • Approved
    : Workday sends the plan to all recipients who qualify, including any who became eligible while the request was pending approval. When you approve the new count, we update the threshold for that plan.
  • Denied
    : you can no longer send the plan or plan items as part of the engagement plan or recruiting event.
