Troubleshooting: Academic Requirements

This topic might help you troubleshoot issues with academic requirements, specifically when:

An Academic Requirement Isn't Displaying on the Academic Progress Report

Cause
Solution
There's an issue with the academic requirement configuration.
Review the configuration for the academic requirement.
  1. Access the
    Find Academic Requirement Definitions
    report.
    Security:
    Reports: Academic Requirements
    domain in the Academic Advising functional area.
  2. Select the appropriate search criteria.
  3. Review the
    Student Eligibility Rule
    ,
    Eligibility Rule Type
    , and the other columns.
  4. Select a requirement to review the specifics.
  5. On the
    View Academic Requirement
    report, verify the:
    • Criteria of the academic requirement from the
      Eligibility Rule
      related actions menu.
    • Academic Requirement is under the appropriate
      Academic Unit
      ,
      Program Area
      , or
      Program of Study
      .
    • Effective Date
      of the requirement is on or before the effective date of the program for the student.
    • Version
      of the selected academic requirement.
    Security:
    Manage: Academic Requirements
    domain in the Academic Advising functional area.
  6. If necessary, select
    Academic Requirement
    Edit
    from the related actions menu of the academic requirement.
  7. Click
    Advising
    Launch Academic Progress Evaluation
    from the related actions menu of the student profile.
The effective dates on the student profile don't align with the academic requirement.
Review the Effective Date on the Academic Progress Report of the student profile.
  1. Access the
    Academic Progress
    report for the student.
    Security:
    Manage: Academic Records
    domain in the Student Records functional area.
  2. Review the
    Requirements Effective
    Date.
    Ensure that the
    Requirements Effective
    date:
    • Is accurate. When was it
      Last Evaluated
      ?
    • Aligns with the effective date of the Program of Study
      Declare Date
      or the
      Student Matriculation Date
      that is on the
      Maintain Academic Progress Processing Policy
      .
There's an issue with the Program of Study Definition.
Review the Program of Study Definition.
  1. Access the
    View Program of Study
    report.
    Security:
    Manage: Program of Study
    domain in the Academic Foundation functional area.
  2. Select the student's
    Program of Study
    .
  3. Review the Program of Study definition:
    • Coordinating Academic Unit
      : For Academic Requirements tied to an Academic Unit, ensure that the Program of Study is under the correct Academic Unit.
    • For Academic Requirements tied to a Program Area, ensure that the Program of Study is under that
      Program Area
      .
    • Click the
      Version History
      tab. Compare the effective date of the version to the:
      • Effective Date
        on the
        Requirements
        Academic Requirements
        tab.
      • Requirements Effective
        date of the student on the student profile.

A Course Isn't Satisfying an Academic Requirement

Cause
Solution
There's an issue with the course configuration.
Review the Student Eligibility Rule for the course requirement.
  1. Access the
    Find Student Eligibility Rules
    report.
    Security:
    Manage: Eligibility Rules
    domain in the Academic Foundation functional area.
  2. Select your criteria.
  3. On the
    View Student Eligibility Rule
    report, ensure that the course displays under
    Courses
    .
  4. Review the eligibility rule:
    • Minimum Grade: Did you select the right
      Grade Element
      from the right
      Grading Scheme
      ? Did you select the right
      Operator
      ?
    • Smart List: Are the courses in a smart list? Did you select the right
      Course Subject
      ,
      Tag
      , and so on? If your list is based on a
      Course Tag
      , check the version history of the
      Course Definition
      and compare that to when the student took the course. Was the tag present on the course definition at that time?
    • Combination Rule: Verify the individual child eligibility rules, and then confirm the logic on the parent rule as well. Did you select the correct operator?
The academic requirement is part of a restricted requirement group.
Review the restricted requirement groups.
  1. Access the
    Find Restricted Requirement Group Definitions
    report.
    Security:

    domain in the Academic Advising functional area.
  2. View all restricted requirement groups for your institution. Verify the requirements for the group, in either
    Restricted Requirement List 1
    or
    Restricted Requirement List 2
    .
There's a course overlap.
Review course equivalency groups.
  1. Access the
    Find Course Definitions
    report.
    Security:
    Manage: Curriculum Management
    domain in the Student Records functional area.
  2. View the course definition for the course.
  3. Review the
    Course Equivalencies
    grid. If the course is in an
    Equivalency Group
    , ensure that the usage type is
    Academic Requirement
    .
