Troubleshooting: Academic Plans

This topic provides some of the common issues, causes, and solutions for troubleshooting academic plans.

Course is missing when creating an academic plan template.

The
Course
prompt on the
Create Academic Plan Template
task is missing the course that fulfills the configured academic requirement.
The
First Available
date configured for the course definition is after the
Effective Date
of the academic plan template.
Update the
First Available
date of the course definition so it's available on or before the
Effective Date
of the academic plan template.
  1. Access the
    Edit Academic Plan
    task.
    Note the
    Academic Plan Template
    that's associated with the student's academic plan.
    Security:
    Manage: Academic Planning
    domain in the Academic Advising functional area.
  2. Identify the effective date of the academic plan template.
    1. Access the
      Find Academic Plan Templates
      report.
      Security:
      Set Up: Academic Plan Templates
      domain in the Academic Advising functional area.
    2. Select the
      Program of Study
      for the student.
    3. Select the academic plan template and note the
      Effective Date
      value.
  3. Identify the first available date of the course.
    1. Access the
      Find Course Definitions
      report.
      Security:
      Manage: Curriculum Management
      domain in the Student Records functional area.
    2. From the related actions menu of the applicable course, select
      Course Definition
      Edit
      .
  4. Identify the
    First Available
    date. If necessary, edit the date so that it is on or before the effective date of the academic plan template.

Can’t select courses for a requirement on an academic plan.

The
Course
prompt on the
Create Academic Plan
task is empty for an academic requirement.
The
Effective Date
for the academic requirement is after the
Declare Date
for the student. Workday searches for courses that satisfy requirements and the requirements version is in effect as of the student's matriculation or declare date.
Add a new version for the academic requirement that's on or before the student's declare date.
  1. On the
    Overview
    report on the Academics profile group of the student profile, note the
    Declare Date
    of the student.
    Security:
    Student Data: Program of Study
    domain in the Academic Advising and Student Records functional areas.
  2. Access the
    View Academic Requirement
    report and select the requirement.
    Security:
    Manage: Academic Requirements
    domain in the Academic Advising functional area.
  3. Click
    Add New Version
    and enter an
    Effective Date
    that's on or before the student's declare date.

Can’t view the Register From Plan button on the academic plan.

Although there are courses added to the student's plan that display
Ready to Enroll
, the
Register from Plan
option isn't available on the
Academic Plan
report on the student's profile.
Cause
Solution
The course isn’t published.
Verify that the course is published.
Security:
Manage: Curriculum Management
domain in the Student Records functional area.
  1. Access the
    Find Course Section Definitions
    report.
  2. Search for the course section.
  3. To publish the course, from the related actions menu of the course section, select
    Activity Offering
    Publish
    . This option isn't available if the course is already published.
The course isn’t selected in the academic plan.
Verify that the course is selected on the academic plan.
Security:
Manage: Academic Planning
domain in the Academic Advising functional area.
  1. Access the
    Plan
    report on the Academics profile group of the student profile.
  2. Click
    Update Plan
    .
  3. Ensure that the course is included on the academic plan.

Can’t save the academic plan. Gets error “Plan the Co-Requisite for this Course.”

There are corequisites configured for the effective-dated version of the course definition. Workday prevents students from registering for this course without the corequisite courses.
Verify whether there are courses that students must take along with the course.
  1. Access the
    Find Course Offerings
    report.
    Security:
    Manage: Curriculum Management
    domain in the Student Records functional area.
  2. Select the
    Course Definition
    .
  3. Click the course section for the relevant academic period.
  4. View the
    Co-Requisite Courses
    field to identify corequisites for the course.
  5. Add the corequisite courses on the academic plan.

Students can’t register for courses that show Eligible to Enroll on the plan.

On the student’s academic plan, the course has a status of
Eligible to Enroll
, but the student isn’t able to register for their desired course section.
The student is eligible for at least 1 section of the course for the academic period on the academic plan, but not for the course section that they want to register for.
Verify the eligibility rules on the course and course sections that the student wants to register for.
  1. Access the
    Registration Troubleshooting Console
    report.
    Security:
    Set Up: Registration
    domain in the Student Records functional area.
  2. Specify the
    Student
    and all
    Optional Criteria
    , and click
    OK
    .
  3. Review the
    Eligible for Course
    and
    Eligible for Section
    fields.
  4. To review eligibility rules for the course, click the
    Course
    value and view the
    Eligibility
    on the course definition.
  5. To review eligibility rules for the course section, click the
    Section
    value and view the
    Eligibility Rule
    on the course section definition.
