Setup Considerations: Quick Receipts

What It Is

Quick Receipts provides self-service access for requesters to receive goods and services across multiple purchase orders.

Business Benefits

Quick Receipts enables you to:
  • Receive lines from multiple purchase orders in 1 action instead of opening each purchase order.
  • Displays only each requester's eligible lines from purchase orders for consolidated purchase orders, so requesters can find lines to receive faster.
  • Prompt requesters from Home page cards instead of running reports or searching lines.
  • Reduce supplier invoice match exceptions caused by missing receipts.
  • Support period-end accruals by making outstanding deliveries easier to receive.

Use Cases

You can:
  • Confirm received goods and services across multiple open purchase orders.
  • Prioritize lines that have a supplier invoice in match exception so you can reduce delayed-payment risk.

Questions to Consider

How do you want to use custom approval steps on the Receipt business process?
You can use condition rules to expedite high-volume receipts. You can isolate receipts initiated by Quick Receipts or scheduled receiving tasks, skip intensive approval chains, or route them to designated reviewers.
Do you consolidate multiple requisitions onto a single purchase order?
Quick Receipts still supports consolidated purchase orders. Each requester views only eligible lines linked to their requisition, not lines from other requesters on the same purchase order. If requesters must receive lines for multiple requesters on one purchase order, use
Create Receipt
task with the appropriate receipt security instead of Quick Receipts. Company constrained and unconstrained security groups will continue to have access to all consolidated lines for receiving.
How do you want to control who can use Quick Receipts?
Quick Receipts uses the same receipt domains and
Receipt
business process security as Create Receipt. Requestors who can receive a purchase order or purchase order line through Create Receipt have the same access through Quick Receipts, including procurement condition rules such as
Purchase Order - Prevent Receipt
. You can use the
Receipt Creation Source
report field in custom validations to send specific receipts to
Draft
status. Workday excludes bill-only type POs and contingent worker and project-based lines automatically.

Recommendations

  • Publish the
    Quick Receipts
    and
    My Draft Receipts
    cards to the Updates section on the Home page. See Concept: Home Page Workspace.
    • The
      Quick Receipts
      home card is secured to the Quick Receipts task so any worker with eligible PO lines for receiving through the task will also see the home card
    • The
      Draft Receipts
      home card is secured to the
      Manage My Receipts
      task which is secured to the
      Self-Service: Receipt
      domain, resulting only in receipts created by or created for the worker.
  • Create custom validations or
    Receipt
    business process condition rules that use a calculated field on the
    Receipt
    business object when you need a different approval path.

Requirements

  • Add Employee as Self to the permitted security groups on the Quick Receipts
    Initiate
    action of the
    Receipt
    business process.
  • Confirm the data window before you deploy. Workday evaluates purchase orders from the preceding 2 years and by default displays lines due in the last 30 days based on the calculated expected delivery date.
  • The date filter range can’t exceed 1 year between
    From Date
    and
    To Date
    . When workers change filters, Workday searches purchase orders up to 2 years before the
    To Date
    .

Limitations

  • Workday doesn't support Quick Receipts on the Workday mobile app. You can use a mobile browser.
  • You can't receive advanced ship notices, supplier contracts, or contingent worker purchase order lines or project-based purchase order lines.
  • You can't add header or line attachments.
  • You can’t change the Receipt date.
  • You must complete purchase order lines that require lot or serial capture on the
    Create Receipt
    tasks.
  • Workday displays a maximum of 500 lines per search.
  • When you access the task, Workday queries purchase order documents that are open for receiving in the last 2 years for the processing worker and queries a maximum of 100,000 results. In high-volume tenants, some eligible lines might not display.

Security

You must have access to the initiating action on the Receipt business process security policy to use Quick Receipts.
Workday supports Quick Receipts access for these security types:
  • Self-service worker groups
    Employee As Self
    and
    Contingent Worker as Self
    , including:
    • Requisition requester for purchase order lines
    • Buyer on the purchase order
    • PO submitted by worker for the sourcing buyer
  • Company roles such as Buyer
  • Unconstrained groups such as Procurement Administrator
