Concept: Custom Versions

By default, Workday provides the Accounting Center Journals version. You can also create additional or custom versions and name them clearly to describe the data they represent. Example: Actuals for 2025.
How many custom versions you create depends on your business use cases and reporting strategy. Example: You might have one version for Forecasts and another for Scenario Planning. They help in comparing different versions of data side-by-side, such as "Forecast" versus "Budgeting Scenarios".
In the reporting model, you can configure multiple data sources under a single version. This enables you to:
  • Record and report on the same data over time. Example:
    • 2024 Actuals Data
    • 2025 Actuals Data
  • Use multiple data sources to capture similar data that you want to consolidate.
    Example: An insurance company uses 2 different systems to source its policy information.
If you source your data from multiple data systems, you can follow these guidelines to consolidate the data into a single Prism table or data source:
  • Create the Prism table that combines data from multiple data systems.
  • Use the Workday reference ID (WID) to create a join column that identifies which rows of data are sourced from which systems. You can then slice and dice this data by the different sources.
  • Match the reference ID for the custom version to the WID used in the join.
    Example: You created a join in the table to combine data from:
    • System 1
    • System 2
    • System 3
    When you create a custom version for the data in system 1, use a reference ID that matches the WID for system 1 in the join.
  • Create a report to extract the WIDs and the reference IDs for custom versions. The data source is
