Example: Configure the Reporting Model for Accounting Center Journals
This example illustrates how you can configure the Workday-provided Accounting Center Journals version in the reporting model to enable reporting on it in OfficeConnect.
You want to enable your end users to report on Accounting Center detailed data in OfficeConnect using the Workday-provided Accounting Center Journals version. They can report on this data using either actual dimensions or drill to it using the Show Details option.
After understanding the core use cases for your business, you:
- Select the correct Prism data source that aligns with the existing company structure and account hierarchies in the reporting model.Example:
- The ledger accounts belong to the same account set and account hierarchies defined in the reporting model.
- The companies and the detailed accounting data sets roll up to the company hierarchies defined in the reporting model.
- Create a field mapping of the data source to the reporting model. You must map all the required ledger-like fields from the data source.
- Configure the reporting model to include the data source field mapping.
- Use OfficeConnect to test that you can report on the Accounting Center detailed data.
You can map a data source to the reporting model only once. Later, if you make changes to the data source or if you delete it, it can impact your field mapping and cause errors in OfficeConnect.
- The Prism data source:
- Exists for the data you want to report on.
- Is enabled for analysis.
- Has the required fields.
- The ledger accounts and company hierarchies in the Prism data source and in the reporting model match. See Set Up the Financial Reporting Data Model.
- You have access to these tasks:
- Set Up Reporting Model
- Field Mapping for Reporting Model
- Create Custom Version
- In Workday, access theCreate Field Mapping for Reporting Modeltask.
- Select the reporting model type and search for the data source that you identified for the business. Click OK.
- In theRequiredtab, map all the ledger-like fields. Complete the task:
Option Description Mapping Type- SelectSource Fieldto select a source field directly from your data source.
- SelectSpecified Valueto specify a value that is constant.
SourceBased on your mapping type, either select a source field or manually enter a value.VersionTo map to the Version target field:- In theMapping Typefield, selectSpecified Value.
- In theSourcefield, selectAccounting Center Journals.
- After mapping all required fields, clickOK.
- (Optional) In theOptionaltab, map any additional fields that you want to configure as dimensions or for Show Details in the reporting model.Example: Cost centers, revenue categories, spend categories, regions.
- (Optional) If there aren’t any optional fields available to map your source fields that you want to report on, you can create custom fields:
- In theCustomtab, click the plus icon to add a row.
- InSource, select the source field you want to create a custom field for.
- InTarget, selectCreate Custom Fieldand give it a name.
- ClickOK.
- Review your field mappings to make sure you mapped everything correctly:
- In theRequiredtab, use theTargetfield to filter on a field name to see what it's mapped to.
- If you missed mapping any fields, access theEdit Field Mapping for Reporting Modeltask. Select your existing field mapping and clickOK. The field mapping inherits its name from the data source name.
- Access theSet Up Reporting Modeltask.
- Select an existing reporting model for edit or create a reporting model.Example: ACC Data for Financials Reporting data model.
- ClickOK.
- Scroll to theVersionssection. Add a new row for theAccounting Center Journalsversion. Select the applicable field mapping for it.Example: OCFR_DTL_TBL_DetailedAccounting_For_Reporting.
- Scroll to theDimensionssection and configure additional Accounting Center attributes as dimensions.
- Scroll to theShow Detailssection. ClickAddto add the new Accounting Center Journals version and configure Show Details fields specifically for this version. You can also configure the order and sorting for these fields.
- ClickOK.
- Sign in to OfficeConnect using Workday SSO.
- Create or a test report in OfficeConnect using these elements:
- Add these GL accounts accounts to the rows: Assets and Liabilities and Equities.
- Add these versions to the columns: Actuals and Accounting Center Journals.
- Refresh the report and can compare the data in the report for the 2 versions.
- Select an intersection and clickShow Detailsto drill into Accounting Center detail attributes.
