Concept: Manage an Engagement

Workday enables these options for managing your engagements.
Option
Description
Configure email routing
To configure email routing for engagement items, select
Edit
from the
More Actions
menu.
You can select an
Email Destination Priority
to control how recipients receive messages and reminders:
  • Default Routing
    : Uses the default routing configuration for the notification type.
  • Home Only
    : Sends to the recipient's home email address.
  • Work Only
    : Sends to the recipient's work email address.
  • Work Else Home
    : Sends to the work email address; if unavailable, sends to the home email address.
Duplicate an engagement
To copy an engagement, select
Duplicate
from the
More Actions
menu.
Run an engagement now
Workday sends engagement items 4 times each day. You can view the last and next run times on the
Engagement Builder
report.
To run an engagement as soon as possible, select
Run Now
from the
More Actions
menu. Workday moves the selected engagement to the front of the queue for the next run.
Search for an audience or engagement
Use these search prefixes to locate an audience or engagement in Global Search:
  • aud:
  • cam:
If the
View Audience
or
View Campaign
reports are hidden, you won't be able to use these prefixes to search. Access the
Hide Workday Delivered Report
task to determine if these reports are hidden.
Send a message
You can create a conditionally scheduled message as part of your engagement without assigning a learning course. To send a message independent of a learning course, click
Add Item > Message
.
Suspend an engagement
To suspend an engagement, select
Suspend Engagement
from the
More Actions
menu.
Workday suspends engagement items until you select
Resume Engagement
from the
More Actions
menu.
If you suspend an engagement, the engagement completes its run but won't run again. If the end date for your suspended engagement has not passed, reminders are still sent for suspended engagements and for learners with existing in-progress assignments.
To prevent learners from receiving reminders for a suspended engagement, use the
Waive Learning Assignment
task to waive the associated learning assignment.
Verify email notifications
Use the
Business Process and Integration Notifications Indexed
report to verify email notifications were sent. You can verify content, recipients, and timing.
View enegagement insights
To view engagement performance metrics and visualizations, select
View Insights
from the
More Actions
menu.
From the
Insights
tab, you can view the engagement processing status and these metrics:
New Items Today: Number of new learning assignments issued today.
Processing Status: Total number of errors from the last engagement run.
Notifications Distributed Today: Total number of notifications or messages successfully sent today.
You can also view these visualizations:
  • Total Item Completions: Aggregate learning completion rate for the engagement.
  • Completion Rate Per Item: Completion rate for each learning item, categorized by send condition. Workday displays this visualization when the engagement includes multiple learning items.
  • Total Items by Type: Mix of content types included in the engagement. Workday displays this visualization when the engagement includes multiple item types.
  • Send Rate Per Message: Number of messages with a Sent status. Workday displays this visualization only when the engagement includes multiple messages.
  • Total Engagement Notifications: Delivered engagement notifications and reminders, categorized by send condition.
  • Engagement Notifications by Send Condition Per Item: Delivered engagement notifications and reminders for each item, categorized by send condition, if the engagement has more than 1 item.
  • Engagement Membership Per Day: Audience size per day.
View engagement run logs
To view your engagement run logs, select
View Run Logs
from the
More Actions
menu.
Click the number in the
Errors and Warnings
column to view details about the error or warning.
