Mass Submit Time

  • Configure the
    Submit Time
    initiating action on the
    Enter Time
    business process and security policy in the Time Tracking functional area.
  • Security:

    domain in the Time Tracking functional area.
Use the
Mass Submit Time
report to submit large volumes of time when you don’t want workers to submit individually, especially for workers who clock in and out and rarely use their time entry calendar. You can also mass submit time to ensure that stray time entries that workers forgot to submit, or were unable to submit, are accounted for.
If a time off entry crosses from one week into another, run the report for both weeks to submit the full amount of time off.
Don’t run the
Mass Submit Time
report from an integration system user account.
A race condition occurs when two processes try to change the same data at the same time. One process can overwrite or discard the change of the other, which can leave the data in an incorrect or incomplete state. With
Mass Submit Time
, the Workday process and the worker race to update the worker’s timesheet. If the worker submits time while
Mass Submit Time
is already processing that timesheet,
Mass Submit Time
can cancel or overwrite the worker’s changes and create orphaned time blocks. You need to plan your schedule with this in mind:
  • Schedule
    Mass Submit Time
    and
    Auto Submit Time
    so they don't overlap with worker activity, such as creating or submitting time blocks while the processes run. This timing helps you avoid race conditions and orphaned time blocks. Example: late at night or early in the morning to run outside standard working hours.
  • If your goal is to submit all time after a period closes, schedule
    Auto Submit Time
    to run a day or two after the period end. Give workers time to complete entries and avoid conflicts between system processes and worker submissions.
  • When you configure
    Auto Submit Time
    , exclude the current period so it only submits unsubmitted time from previous, completed periods.
  1. Access the
    Mass Submit Time
    report.
  2. (Optional) Select filters to refine the list of workers, such as supervisory organization or location.
  3. Select the workers whose time you want to submit.
    The report displays all active workers as of the current date. , Workday submits time for workers who had time entries for that period, including new hires and terminated workers who do not appear in the report but have entered time. This also applies to any custom reports based on
    Mass Submit Time
    .
    Example: You terminated Steve from the Operations supervisory organization in a previous period (February 2022). When you run
    Mass Submit Time
    for the Operations supervisory organization for February 2019, Steve won't appear in the report but his time is correctly submitted.
  4. Select a
    Run Frequency
    .
    The run frequency determines when or how frequently to submit time entries for a particular date range.
    When you create a custom report based on
    Mass Submit Time
    and add custom facet filters or custom filters, Workday won't account for any worker changes between the time you scheduled the job and when the scheduled job runs. If you use the standard report, Workday accounts for worker changes between the time you scheduled the job and when the scheduled job runs.
  5. Enter a
    Request Name
    so you can identify this job in reports.
  6. In
    Period Selection for Submit Time
    , select the date range you want to submit. Use these options:
    • To mass submit time entries for a period schedule on a recurring basis, create additional mass submit jobs for each date range that belongs to the period. If you schedule this task to recur, Workday mass submits all unsubmitted time entries for the same period every time the task runs.
    • Workday uses the period start and end dates to determine which time entries to submit. Unless you select the
      Use Period Schedule Eligibility
      check box, workers don't have to be eligible for the selected period to have their time entries in that period submitted.
    • If you're not using period schedule eligibility, select the exact period of time that you want to mass submit.
  7. (Optional) Select the
    Use Period Schedule Eligibility
    check box to limit worker selection to workers eligible for the selected period.
    If you don't select this check box, Workday submits all time entries for:
    • Weeks or time periods that intersect with the selected time period.
    • Workers who meet the filter conditions.
    • Workers whose time entries you have the security access to submit.
  8. If your run frequency isn't
    Run Now
    , you can refine run frequency details on the
    Schedule
    tab.
    The details you select define how often
    Mass Submit Time
    will run for the period instance you selected on the
    Period Selection
    tab.
Workday sends you a notification that includes the names of the workers whose time you submitted as well as a summary of the time submitted.
Processes scheduled for the future display in the
Scheduled Future Processes
report. You can view the status of in-progress and recently completed processes on the
Process Monitor
report.
When the process completes, all workers who meet the eligibility conditions as of the run date have their time mass submitted.
If you need additional filtering, you can copy the standard
Mass Submit Time
report and create a custom version. However, keep these limits in mind:
  • You can’t use
    Pay Group
    and
    Time Entry Template
    facets in custom
    Mass Submit Time
    reports.
  • Custom facets aren’t effective‑dated.
  • If you create a custom report and add custom facet filters or custom filters, Workday doesn’t account for worker changes between the time you schedule the job and when the job runs. The standard report does account for worker changes during that time.
Use the standard
Mass Submit Time
report when your worker population changes frequently between scheduling and execution. This report includes more workers than you see on the report:
  • The standard report lists active workers as of the current date and submits time for workers who have time entries in the period.
  • Workday also submits time for new hires and terminated workers who do not appear on the report if they entered time for the period.
  • This behavior also applies to custom reports based on
    Mass Submit Time
    .
Example: if you terminated a worker in a previous period and run
Mass Submit Time
for that period, the worker doesn’t appear on the report but Workday still submits their time.
Fix Orphaned Time Blocks
If you identify orphaned time blocks, re‑evaluate them so Workday can clear or resubmit them. Use different steps for reported and calculated time.
For reported time blocks:
  1. Open the affected time entry.
  2. Edit the orphaned reported time block.
  3. Make a small change, such as adding or updating a comment, so Workday relinks the time block to a time event.
  4. Submit the time entry again.
For calculated time blocks (stale blocks):
  1. Run the
    Run Time Calculations for a Date Range
    task.
  2. Select the affected worker.
  3. Enter the date range for the week that contains the stale or orphaned blocks.
  4. Submit the task.
Workday re‑evaluates the time blocks for that worker and date range and clears invalid or stale entries.
