Restrict Job Profiles by Country and Organization

  • Create job profiles.
  • Security:
    Set Up: Job
    domain in the Jobs & Positions functional area.
You can restrict job profiles to a specific country, supervisory organization, company, or a combination of the three. Workday enforces your restrictions on staffing transactions, such as Hire and Change Job, which ensures users can only select appropriate job profiles for the transaction. These restrictions apply based on the proposed values of the staffing transaction, regardless of the:
  • Worker initiating the staffing transaction.
  • Worker who's the subject of the staffing transaction.
You can also use the
Submit Job Profile
web service to configure these restrictions in bulk.
  1. Access the
    Create Job Profiles
    task.
  2. Enter restrictions in these fields:

    Restrict to Country
    Select the countries where this job profile is valid, or leave this blank if the job profile is available for all countries. Workday doesn't display the job profile if none of these values on the event are in the restricted country configured on the job profile:
    • Proposed value in the
      Location
      field.
    • Primary Location
      on the proposed supervisory organization.
    Workday displays the job profile if any of those values are in the restricted country.
    Restrict to Organization
    Select the supervisory organizations or companies where this job profile is valid, or leave this blank if the job profile is available for all organizations.
    Users can only see supervisory organizations and companies that they have access to.
    If you restrict a job profile to a supervisory organization with subordinate organizations, the restriction is applied to all subordinate organizations as well.
    Workday doesn't display the job profile if none of these values on the event contain the restricted organization:
    • Proposed value in the
      Company
      or
      Supervisory Organization
      fields.
    • Default or allowed company on the proposed supervisory organization.
    Workday displays the job profile if any of those values are in the restricted organization.
    When the
    Company
    field is part of a
    Change Organization Assignment
    subprocess, Workday only evaluates the
    Proposed Company
    value once the subprocess step is initiated. Example: You initiate the
    Hire
    business process with the consolidated
    Change Organization Assignments
    business process on it. Workday evaluates your restriction on the
    Hire
    initiation page. Workday reevaluates your restriction when you get to the
    Change Organization Assignments
    step.
  • If you configure at least one
    Restrict to Country
    and at least one
    Restrict to Organization
    value, the job profile is visible if both of those restrictions are met through the proposed values on the staffing transaction. Example: You enter
    USA
    in
    Restrict to Country
    and
    Supervisory Organization 1
    in
    Restrict to Organization
    . The job profile will be visible if the staffing transaction has a proposed location in the USA and has
    Supervisory Organization 1
    as the proposed supervisory organization. If only one of those conditions is met, the job profile won't be visible.
  • If you configure multiple values in the
    Restrict to Country
    or
    Restrict to Organization
    fields, the job profile is visible if at least one of those restrictions is met through the proposed values on the staffing transaction.. Example: You enter
    USA
    and
    Canada
    in
    Restrict to Country
    and
    Supervisory Organization 1
    in
    Restrict to Organization
    . The job profile will be visible if the staffing transaction has a proposed location in either the USA or Canada and has
    Supervisory Organization 1
    as the proposed supervisory organization.
  • We don't apply the filtering restrictions to the Recent and Suggested folders in the
    Job Profile
    field.
  • If a job profile has a future-dated restriction, it may still appear in search results for transactions effective today. In those cases, Workday displays a warning if the job profile you selected isn't valid.
  • Users can search for hidden restricted job profiles using the Workday ID if they use the prefix
    wid:
    .
  • Workday displays an alert if users select a restricted job profile on a transaction. They can still submit the event.
  • The job profile restrictions you configured apply when users access these tasks:
    • Add Job
    • Add Job for Contingent Worker
    • Change Contingent Worker Details when using a change job template with the enhanced user interface enabled.
    • Change Job when using a change job template with the enhanced user interface enabled.
    • Change Location when using a change job template with the enhanced user interface enabled.
    • Compensation Review
    • Contract Contingent Worker
    • Convert to Employee
    • Create Position
    • Edit Hiring Restrictions
    • Edit Job
    • Edit Position
    • Edit Position Restrictions
    • Hire Employee
    • Hire Student
    • Request Transfer when using a change job template with the enhanced user interface enabled.
    • Set Hiring Restrictions
    • Start International Assignment
    • Start Job Change when using a change job template with the enhanced user interface enabled.
You have two software engineer job profiles. You want to use one in Sup Org A, and the other in Sup Org B. You set up the relevant restrictions. When a manager completes a job change for a software engineer in Sup Org A, they will only see the Sup Org A job profile. This enables them to easily select the appropriate job profile.
