Steps: Set Up Manager Contribution to Onboarding Plans

Security: These domains in the Onboarding functional area:
  • Set Up: Onboarding
  • Self-Service: Onboarding
  • Worker Data: Onboarding
You can enable managers to personalize each new hire’s onboarding plan when they complete the Onboarding Setup business process. Managers can add:
  • A welcome
    Message
that introduces the new hire to the team
  • People to Meet
so the new hire knows which colleagues to connect with beyond their immediate day-to-day work
  • Helpful Contacts
so the new hire knows who to reach out to for support
When you enable the
Manager Contributions
section, Workday displays that content on the onboarding plan for a new hire. When managers personalize onboarding plans, they help bridge the gap between new hires and their broader team, accelerate integration, and enable early engagement. A personalized welcome and clear points of contact can reduce feelings of overwhelm for new hires, strengthen connections, and improve overall onboarding satisfaction.
  1. Access the
    Maintain Onboarding Section Configurations
    task.
  2. Ensure
    Manager Contributions
    section is set to
    Enabled
    .
  3. Click
    OK
    and
    Done
    .
    How Workday displays the
    Manager Contributions
section depends on the content you provide:
    • If you enter content for specific items (Example: the
      People to Meet
section), Workday displays only that specific section.
    • If you don’t provide content for any of the items (
      Message
      ,
      Helpful Contacts
      , and
      People to Meet
      ), Workday hides the entire
      Manager Contributions
section, even if you configured it to display using the
      Maintain Onboarding Section Configurations
      task.
  4. Initiate the
    Hire
    or
    Change Job
    business process for the worker.
As the process runs, Workday will automatically launch the
    Onboarding Setup
subprocess based on your business process configuration. The Hiring Manager receives the
    Onboarding Setup
    task in their
    My Tasks
    .
  5. The Manager reviews the prepopulated template, can customize the welcome
    Message
    , and add
    Contacts
    if desired.
  6. Click
    Submit
    .
If managers do not complete this task manually, administrators can use the
    Mass Advance Onboarding Setup Events
task to force complete incomplete setup events.
When you complete the Onboarding Setup Event, Workday automatically links the setup data to the worker's
    Onboarding Plan Assignment
    .
When the worker sign into their Onboarding experience, Workday displays the
Manager Contributions
section.
The worker can now view:
  • A personalized welcome message from their manager.
  • Up to three highlighted contacts each for
    People to Meet
    and
    Helpful Contacts.
