Concept: Configurable Candidate Grid
The Configurable Candidate Grid provides recruiters and hiring managers with a flat, configurable view of job applications. Recruiters can filter and sort candidate information, filter by recruiting stage, access candidate details, and complete individual or mass actions from the grid.
The assigned grid configuration, field security, recruiting context, and recruiter personalization determine the information and actions that recruiters can access.
You must enable Candidate Grid through the Maintain Feature Opt-Ins task before you can create or assign Candidate Grid configurations.
You can’t reverse the Candidate Grid feature opt-in. If you don’t enable the feature, Workday continues to use the existing candidate list experience.
Candidate Grid Configurations
A Candidate Grid configuration defines which candidate fields appear in the grid, which columns remain hidden, and the initial sort order. You create configurations on the Create Grid Configuration task and assign them on the Maintain Candidate List Assignment task.
Each configuration can include a broad set of candidate fields while displaying only essential columns by default. Workday applies the assigned configuration to the Active and Inactive tabs, including column visibility, field security, filters, and initial sorting.
When a configuration doesn’t specify an initial sort order, Workday sorts candidates by recruiting stage and job application creation date.
Visible and Hidden Columns
You specify which columns appear by default and which columns remain hidden in the configuration. Hidden columns stay available in the configuration but don’t display in the grid until a user shows them.
Workday delivers a default Candidate Grid configuration with these columns hidden to support faster grid load times:
- All Job Titles
- Email
- Jobs Applied to
- Phone
- Resume
- Skills
You can display these columns when recruiters need them. Columns that use custom report fields can also affect grid performance when displayed.
Filter on Hidden Columns
When Filter on Hidden Columns is enabled in a configuration, recruiters can filter by fields that aren’t displayed as columns. Recruiters use the filter panel to narrow the candidate pool without adding columns to the grid.
For example, if you hide
Candidate Location
in the configuration, recruiters can still filter for candidates in a specific location. The grid stays focused on essential columns while the candidate pool narrows to matching results. This behavior also applies when recruiters personalize their view. If a recruiter hides
Date Added
, they can continue to filter by that field without changing the assigned configuration.Personalization
Recruiters and hiring managers can personalize column visibility in Candidate Grid without changing the configuration that you assign to their organization. Personal column preferences apply only to the individual user and don’t update the assigned configuration.
HiredScore Spotlight Grading
When your organization uses HiredScore Spotlight, Candidate Grid can display a
Grade
column that shows the HiredScore Spotlight grade for each job application. Workday displays the grade as a letter rating: A, B, C, D, or N/A.You can include the
Grade
column in a Candidate Grid configuration and set the initial sort order by grade to surface top candidates when the grid loads.Workday displays the
Grade
column when users have access through the Candidate Data: HiredScore Spotlight
domain. When users don't have access on that domain, Workday hides the Grade
column.N/A indicates that HiredScore Spotlight didn't grade the candidate, such as when required candidate or job requisition data isn't available.
For grade explanations, fit and gap details, and other Spotlight insights, recruiters open the candidate profile. Those Spotlight details aren't displayed in the grid column.
Active and Inactive Candidate Views
Candidate Grid displays active candidates on the
Active
tab and inactive candidates on the Inactive tab on the job requisition composite view and Job Requisition Workspace
. Both tabs use the same assigned Candidate Grid configuration, including column visibility, field security, filters, and initial sorting. The
Inactive
tab displays an empty-state message when the job requisition has no inactive candidates.Entry Points
Recruiters and hiring managers can access Candidate Grid from supported recruiting entry points, including:
- The candidate tabs on the job requisition composite view andJob Requisition Workspace
- TheReview Candidatesbutton and candidate funnel for standard and high-volume job requisitions
- TheView New Internal CandidatesandView New Referred Candidatestasks
- The Candidates navigation item in the Recruiting Hub
- The My Candidates card in the Recruiting Hub
Performance Considerations
Grid load time depends on which columns appear in the configuration and which columns recruiters display. Data-heavy columns, particularly columns that use custom report fields, can affect filtering, sorting, and overall performance.
The
Tenant Analyzer
report identifies Candidate Grid configurations that include report fields that might affect performance. The report can recommend replacing the Primary Recruiters or Recruiters report field with the Primary Recruiters report field and identify single-instance calculated fields, such as Candidate Recruiting Status, that you should convert to concatenate calculated fields.Security
Candidate Grid doesn't deliver new security domains for the grid experience. Users retain the same access as the existing candidate list experience for viewing and acting on candidates in the grid.
Viewing the HiredScore Spotlight Grade column requires access on the
Candidate Data: HiredScore Spotlight
domain. Workday delivers this domain with HiredScore Spotlight. Assign this domain to the recruiting roles and security groups that should view Spotlight grades in Candidate Grid.Field security on individual columns continues to apply in Candidate Grid.
