You can use the
Manage Learning Content
report to search for learning content, which can include:
- Blended Courses.
- Digital Courses (withAccess TypeofRequires EnrollmentorOn Demand).
- Lessons (stand-alone).
- Programs.
Edit Course
task to edit a specific blended or digital course. You can search for a course by either:- Topic
- Delivery Mode:
- Hybrid(contains both instructor-led and media lessons).
- In-Person(contains instructor-led lessons only).
- Self-Directed(contains media lessons only).
For courses with hybrid or in-person delivery modes, you can:
- Update a specific version, based on its effective date, or select the current version.
- Add a new version with a different effective date.
You can select the
View as Admin
button to view content as an administrator and to enable Workday to remember this setting preference. To consume learning content, learning administrators and trainers must select the View as Learner
button on the learning reports or access the content through the Learning dashboard. - Run theManage Learning Contentreport.
- View and edit details for learning content. Workday displays 1 of these reports, based on the content type that you select:
From the administrator view, you can also access theReportEnables you to:View Course- View and edit a particular version or add a new version of a blended course on theAdministrativetab. TheVersionssection lists all versions where theManage Coursebusiness process has completed.If you edit non-effective-dated fields, Workday updates the fields on all course versions. Non-effective-dated fields include:
- Course Title
- Skill
- Description
- Topics
- Inactive
- Cover Image
Workday applies effective dating to all other fields on courses. If you edit effective-dated fields in a course version, your changes apply only to that version. - Schedule course offerings from the version that you're viewing. Select .
- Update course offerings to the version that you're viewing and apply version labels and notes, if available on that version. Example: When you edit these values on a course version, you can also update these values on 1 or more offerings:
- Contacts
- Cost
- Expiry Period
- Units
Select to select 1 or more offerings to update.Workday updates the selected offerings and adds, removes, or replaces these lesson types:- External Content
- Media
You can't update these lesson types in the selected course offerings, but you can update the offering version:- Instructor-led classroom or webinar lessons.
- Surveys.
- Course offerings with lesson-order conflicts.
Updating an offering to a new version can reset virtual classroom setup toAdd Link Manuallyfor virtual classroom lessons that use the Microsoft Teams integration. This can remove the meeting URL and affect calendar invitations for the lesson when you use Learning calendar integration. To restore the integration and regenerate the URL, access theEdit Course Offeringtask. On the affected lesson, selectAdd Link Manually, immediately switch back toIntegration System, reselect the Microsoft Teams integration, and submit the change. - Drill into course offerings on theOfferingsgrid on theAdministrativetab to:
- View and edit a course offering.
- Enroll your team in a course offering.
- Manage the grading and attendance roster.
- Drop enrollments.
- Manage or view waitlists.
- Add a course offering to your calendar.
- Create course reminders.
- Run theView Content Equivalency Rulesreport when there are 1 or more equivalency rules associated with the course.
View Digital Course- View and edit a digital course.
- Enroll your team in a digital course.
- Drop enrollments.
- Run theView Content Equivalency Rulesreport.
Workday doesn't apply effective dating to digital courses.View External Lesson- View a third-party external lesson.
- Inactivate or activate an external lesson.
View External Digital Course- Launch a third-party external digital course.
- Enroll your team in an external digital course.
- Drop enrollments for your team in an external digital course.
- Inactivate or activate an external digital course. You can't play inactive courses.
- Mark an external digital course as complete.
- Run theView Content Equivalency Rulesreport.
View Learning LessonView and edit internal stand-alone lesson details. You can't edit videos or documents after you submit lessons.You can’t editSana Contentlessons in Workday create or edit course tasks. To change content, edit inSana Createfrom theLearning Admin Huband resubmit. AI Summarize Feedbacktab to use Generative AI (GenAI) to summarize user feedback comments on courses, lessons, and programs. Note: Feedback summary is not available for external content.
If you update a media file in a digital course, these are the impacts on your learners:
- For learners who have completed the course prior to replacing the media file, the course will remain complete, but the lesson with a new media file within the course will be incomplete. If learners click theView Course Againbutton, the new media file will be available.
- Learners who have not started the course or are in progress need to complete the lesson with the new media file.
- Manage reminders for your learning content.
- Add third-party material to your learning content.
