Add Services from Spreadsheets

You can copy data from a Google spreadsheet or Excel file and paste it in the quote grid in the
Timeline
view. After enabling the opt-in feature flag, you can copy and paste separate tables for each item in the quote service or paste nested tables.
Know that:
  • To paste data with work breakdown structure elements, first paste the table with services, phases and tasks. Then you can copy and paste the allocations next.
  • You can paste a maximum of 500 role rows and 500 service rows each.
  • When you paste a table with a blank row in between, Workday ignores all data after the blank row.
  • When you encounter any errors, the entire paste process doesn’t execute. You will need to first fix the errors, and then try pasting the entire data set again.
  • Pasting the data honors the calculations and cross-sheet references within your spreadsheet tabs, but doesn’t support reference between different spreadsheets.
  1. Access the
    Create Quote
    task.
    For existing quotes, access the relevant quote and from the related actions menu, click
    Edit Quote
    .
  2. To copy, access the spreadsheet, select the data table, and press
    CTRL/CMD+C
    .
  3. To paste services or multiple tables, select the
    Quote
    name cell in the
    Timeline
    view, and press
    CTRL/CMD+V
    in the quote grid.
  4. To paste phases and tasks, select the
    Quote
    name cell in the
    Timeline
    view or the
    Work Breakdown Structure
    view, and press
    CTRL/CMD+V
    in the quote grid.
    Make sure that the phase lines are before the task lines.
  5. To paste roles and other service lines data including items, expenses, and third party costs, select the
    Quote
    name cell and press
    CTRL/CMD+V
    in the quote grid.
  6. (Optional) To delete and replace all existing data in the quote:
    1. Add
      <REPLACE ALL>
      token in the top left cell above the table.
    2. Select the
      Quote
      name cell in the
      Timeline
      view, and press
      CTRL/CMD+V
      in the quote grid.
The new data you add in the quote appears below the existing data.
Since you can paste the unit list price and the unit cost for roles, these values can differ from the standard rates defined in Workday on the Project Billing Rate Sheet or the Project Standard Cost Rate Sheet.
  1. You can continue to build the quote and take these actions in the quote grid:
    • Edit, copy, move, or delete the service.
    • Modify Quantity and FTE values for roles.
    • Edit totals.
    • Edit worktags.
    • Edit, cancel, or copy the quote.
  2. Once approved, you can:
    • Change the quote.
    • Print the quote document.
