Workday CLM Integration with Services CPQ
The integration between Workday Services CPQ and Workday Contract Lifecycle Management (CLM) automates the quote document lifecycle by delivering internally approved Services CPQ quote documents directly to Workday CLM where a ticket is generated and can route through a CLM workflow. Once the document has completed redlining and is signed and finalized in Workday CLM, it automatically flows back to Workday as a quote attachment.
Security and Account Access
- Access to CLM integration tasks, reports, and fields is restricted to users assigned to theProcess: Workday CLM Ticketsdomain.
- Every user who submits quotes must have an active Workday CLM account.
- The primary work email address of the Quote Specialist in Workday must match their Workday CLM account email to ensure correct ticket ownership and visibility.
Configuration Requirements
- Generate API Key: See developers.evisort.com for more information about our REST API.
- Configure the connection: Authenticate credentials using theMaintain API Keystask under the Workday CLM Client key type by specifying the token endpoint, client ID, and API key.
- Configure Workflow Templates in Workday CLM: Create a workflow template and add custom fields. Currently, Workday supports only Text field type. Define the intake form field, assign review coordinator, signing coordinator and recipients, specify task list coordinator for finalizing the document, and publish the template.
- Intake Form Field Mapping: Map Workday CLM intake form field IDs to supported Services CPQ fields.
Document Lifecycle, Workflow and Ticket Stages
Stage / Action | System Behavior |
|---|---|
1. Quote Generation & Approval | The CPQ specialist builds the quote details in Services CPQ and submits the quote for internal approval in Workday. |
2. Document Merging & Upload to Workday CLM | Upon approval and document printing, multiple quote PDFs are automatically merged into a single PDF and transmitted to Workday CLM via an outbound integration. |
3. Ticket Creation & Mapping | Workday CLM generates a ticket containing the quote document and populates intake form fields based on configured mapping rules. |
4. Redlining & Negotiation | Users access the ticket in Workday CLM, converts the PDF to DOCX format for redlining, collaborate via email, and progress the ticket through various stages of Edit , Review , Sign , Finalize . |
5. Quote Revisions & Versioning | When you update an approved quote and:
|
6. Finalization & Inbound Sync | After the document is signed and marked complete in Workday CLM, click Refresh Tickets from CLM on the View Opportunity report to update the CLM stage and Workday attaches the signed document to the quote. |
Key Considerations and Limitations
- Single Workflow Template Support: The integration currently supports mapping to one published Workday CLM workflow template and single intake form per tenant.
- Workflow Template Updates: When you change the Workflow template after the CPQ mapping is set up, you must republish the workflow template in Workday CLM. This generates a new Workflow ID. You must update the CPQ mapping with the new workflow ID.
- PDF Format Requirement in Services CPQ: The quote document file must be printed in PDF format to automatically upload to Workday CLM.
- DOCX Format Requirement in Workday CLM: The quote document file must be converted to DOCX in Workday CLM.
- Manual Ticket Refresh: Ticket status updates and signed document synchronization are initiated manually via theRefresh Tickets from CLMbutton on the opportunity to optimize page performance.
Troubleshooting
