Add Phases and Tasks from Work Breakdown

When you add a custom service to the quote, you can specify the effort estimation. When the effort estimation is
With Phases
or With Phases and Tasks
, use the Work Breakdown
view to add phases and tasks to a service in the quote. The phases and tasks can have gaps or they can overlap. In the
Work Breakdown
view, you can’t:
- Edit or delete roles.
- View a duration based service.
- View or allocate non-labor items.
In the
Timeline
view, you can’t add hours for the roles but, you can edit the hours when it’s already allocated through the work breakdown view . See Concept: Work Breakdown Structure.Once you configure an effort estimation for the service and allocate the hours in the service, you can’t change the
Effort Estimation
type. - Access theCreate Quotetask and complete the options.
- On theCreate Quotepage, access the related actions menu under theActioncolumn in the quote line and selectAdd Custom Service.
- On theAdd Custom Servicepage, selectWith PhasesorWith Phases and Tasksoption under theEffort Estimationsection.
- Specify other required values.
- ClickAdd Service.
- ClickWork Breakdownto add phases or tasks to the service.
- Select a service with phases or phases and tasks in theServiceprompt.
- Access the related actions menu under theActioncolumn in the service line and selectAdd Phasefor service with phases.
- Select a phase.
- Specify the dates if theEffort EstimationisWith Phases.If the Effort Estimation is With Phases and Tasks, you can’t specify the dates because they are derived from the task. The earliest Task Start Date becomes the Phase Start Date and the latest Task End Date becomes the Phase End Date.
- ClickAdd Phase.
- (Optional) You can click the related actions menu under theActioncolumn in the phase line to edit, copy, or delete a phase. You can add 1 or more phases.
- If theEffort EstimationisWith Phases and Tasks, access the related actions menu under theActioncolumn in the phase line and selectAdd Taskfor service with phases and tasks.
- Select a task.
- Specify the display name.
- Specify the dates.
- ClickAdd Task.
- (Optional) You can click the related actions menu under theActioncolumn in the task line to edit, copy, or delete a task. You can add 1 or more tasks.
- Access the related actions menu under theActioncolumn in the phase line and selectAdd Role.
- Select a role.
- (Optional) ClickAdvanced Role Detailsto specify additional parameters.
- ClickAdd Role.
- Specify the hours under the role column:
- In the phase line when theEffort EstimationisWith Phases.
- In the task line when theEffort EstimationisWith Phases and Tasks.
- (Optional) To view the phases and tasks in theTimelineview, slide theShow Phases and Taskstoggle.
If you allocate hours to a role that is aligned to more than 1 phase or task for a given time-period, Workday splits the hours evenly across the overlapping phases or tasks.
Workday adds the service with phases or tasks to the quote.
- You can continue to build the quote and take these actions in the quote grid:
- Edit, copy, move, or delete the service.
- Add roles, items, discounts, expenses, and third party costs. SeeAdd Custom Service Manuallytopic.
- Split a service into phases and tasks when theEffort EstimationisWith PhasesorWith Phases and Tasks.
- Modify Quantity and FTE values for roles.
- Edit totals.
- Edit worktags.
- Edit, cancel, or copy the quote.
- Once approved, you can:
- Change the quote.
- Print the quote document.
