Concept: Downstream Impacts from Quote

Based on business process configurations:
  • When the primary quote is approved, Workday creates an opportunity project.
  • When there is a change to opportunity details of an approved primary quote, the opportunity project converts into a project and creates a customer contract.

Project Behavior after Quote Creation

When you configure the
Create Project from Services CPQ
 sub business process as an action step on the
Quote Event
 business process, and approve a primary quote:
  • Workday creates an opportunity project and resource plan lines when there is quote role lines after the business process completes.
  • Workday also passes the role requirements, if defined on the quote, to the resulting resource plan lines.
  • When a Services CPQ user creates a new primary quote, Workday inactivates the corresponding opportunity project for the previous primary quote.
  • You can edit the non-quote fields on the opportunity project and resource plan lines.
  • When the opportunity is open, you can edit these fields and tabs on the project summary:
    • Dependencies
    • Display Project in Opportunity Marketplace
    • External Link
    • External Project Reference
    • Ideas
    • Optional Project Hierarchies
    • Owner
    • Project Groups
    • Project Plan tab
    • Resource Plan tab (Only fields not from the quote.)
    • Status
  • When the opportunity is open, you can edit these fields on the project details:
    • Importance
    • In Scope
    • Measures of Success
    • Objective
    • Out of Scope
    • Priority
    • Problem Statement
    • Project Overview
    • Risk Level
    • Success Rating (Only when Percent Complete = 100%.)
    • The Probability of Success report field derives the value from an open and active opportunity from a quote.
After an opportunity project is created from a quote, you can also:
  • Add multiple project resources on resource plan lines.
    • Workday initially creates the resource plan with 1 unnamed resource for each role defined in the quote, but you can use the Edit Resource Plan task to add more named and unnamed resources to the role.
    • This capability provides resource managers with more flexibility in staffing opportunity projects.
  • Edit the resource forecast.
    • Workday initially creates the resource forecast with all the hours that the Services CPQ user entered in the quote allocated to the 1 unnamed resource associated with the role.
    • You can use the
      Edit Resource Forecast
       task to change the forecast hours to values different from those in the quote.
    • When you add other resources to a resource plan line, you can manually allocate hours to each resource.
    • When you manually change the forecast hours and want to go back to the hours entered in Services CPQ, you can select
      Recalculate
       from the
      Edit
       drop-down on the
      Resource Forecast
       tab on the project.
    • When you define multiple resources for a resource plan line and recalculate the forecasted hours, Workday distributes the hours equally between the resources using the allocation structure from the quote.
  • When you change resource forecast allocations, the total number of hours might not match the estimated hours in the corresponding resource plan lines. (This is an existing Projects functionality.)
  • When you update the total number of hours in a time period for a resource plan line on an opportunity project, and then recalculate the resource forecast, Workday recalculates the total number of hours using the allocation structure from Services CPQ.
  • Example: You create a quote role line for Consultant, and enter 40 hours for Week 1. In the project resource plan line, you add a second consultant resource, and enter 30 hours for each consultant for Week 1. When you recalculate, Workday sets the hours to 20 hours for each consultant for Week 1.

Project Behavior after Editing Quotes

When you configure the
Edit Project from Services CPQ
 and the
Resource Plan Line from Services CPQ
 sub business processes as an action step on the
Quote Event
 business process, and edit an approved primary quote:
  • Workday updates the project with the approved quote changes after the business process completes.
  • When the modified quote is not a primary quote, there is no downstream impact on project objects.
  • When an approved primary quote is modified, Workday will sync those changes with the pending project events. This ensures all related project events are updated with the latest information from your quote.
  • If the modified quote is the primary quote:
    • When you
      Delete
       a service, Workday inactivates the associated opportunity project.
    • When you
      Add
       a service, Workday creates a new Opportunity Project for each service on the quote based on the project hierarchy.
    • When you
      Add
       a role line, Workday adds a resource line to the project.
    • When you
      Delete
       a role line, Workday deletes the resource line from the project and removes the worker from the assignment.
    • When the quote is not a primary quote prior to the edits but becomes one after the changes, Workday automatically creates new projects for the services on this quote.
  • When you modify an approved quote and the approver denies the change then:
    • The primary quote continues to be the same with no changes, and the associated projects remain active.
    • The non-primary quote continues to be the same with no associated projects.
    • If the primary quote is changed to non-primary, then the associated projects are set to inactive.
  • When you convert the opportunity project to a full project, Workday makes all the fields available to edit.
If you’ve configured the
Recalculate Services CPQ Resource Forecast
 service on the
Project Resource Plan Line
 business process to update forecasts automatically or conditionally:
  • When a Services CPQ user deletes a service, Workday deletes the corresponding resource plan lines and resource forecast lines.
  • When a Services CPQ user deletes a quote role line, Workday deletes the corresponding resource plan lines, resource forecast lines, task resources, and any pending request for worker events.

Project Plan Behavior after Quote Creation

  • When an opportunity project exists for a quote with phases and tasks, and the
    Quote Event
    business process has the
    Process Services CPQ Project Plan
     service configured, Workday creates a project plan after all services are approved, denied, or canceled.
  • The project plan retains the order of phases and tasks defined in the quote. When you create new phases or tasks, Workday adds them to the top of the project plan.
  • The
    Task Display Name
     on the quote task automatically populates the
    Custom Task Name
     column of the project plan.
  • You can continue to add phases and tasks to the project plan from the
    Project Planner
     tab.
  • When you delete a phase or a task in the quote, Workday also deletes them from the project plan except when the project has validations that might prevent the deletion.
  • When you have condition rules configured on the business process, if 1 of the services in the quote meet the acceptance condition, then Workday creates a project plan. If none of the services pass the rule conditions, Workday doesn't create a project plan.
  • When phases and tasks fail critical custom validation, Workday doesn’t create the Project Plan.
  • When the project is an Opportunity project, you can't replace the project plan. You can only make edits in the
    Project Planner
     tab. We also prevent you from editing these fields:
    • Custom Task Name
    • End Date
    • Phase
    • Start Date
    • Task
  • When you convert the opportunity project to a full project, Workday makes all the fields available to edit.
  • When you configure the
    Process Services CPQ Project Plan
     service on the
    Convert Opportunity Project to Project
    business process, Workday creates a project plan after the opportunity details change and the opportunity project converts to a standard project. With this configuration, Workday doesn't create a project plan for the opportunity project.

Contract Lines in Contracts Created from Quotes

  • Role:
    • Revenue Treatment defined in Services CPQ Settings defaults to the Role Revenue Treatment in the contract.
    • Revenue Schedule Template (Revenue Recognition Schedule) defaults from the Role Revenue Schedule Template defined in Services CPQ Settings.
    • Standard Rate Sheet in the contract is derived from default value specified in the Use Standard Rate Sheet option of the Services CPQ Settings.
    • Revenue Adjustment Reason is derived from Services CPQ Settings and applied to all contract rate sheets for time and expense role lines.
    • You can only submit a contract when you have a single rate for a role. When you submit a quote with multiple rates for a role, Workday creates the downstream contract in
      Draft
       status so that you can edit for a single rate on the contract rate sheet.
  • Expense:
    • Revenue Treatment defined in Services CPQ Settings defaults the Expense Revenue Treatment in the contract.
    • Revenue Schedule Template (Revenue Recognition Schedule) defaults from the Expense Revenue Schedule Template defined in Services CPQ Settings.
  • Third Party Cost:
    • Revenue Treatment defined in Services CPQ Settings defaults the Third Party Cost Revenue Treatment.
    • Revenue Schedule Template (Revenue Recognition Schedule) defaults from the Third Party Cost Revenue Schedule Template defined in Services CPQ Settings.

Project Billing Rate Sheet on Contract Rate Sheet

  • No Project Billing Rate Sheet (PBRS) is defaulted into the PBRS field on the contract rate sheet.
  • When Workday adds a project billing rate sheet to the contract rate sheet and no billing rate rule exists on the cost rate sheet, the PBRS prompt is editable.
  • When Workday adds a project billing rate sheet to the contract rate sheet and a billing rate rule exists on the cost rate sheet, the PBRS prompt is not editable.
  • If a PBRS is added to the contract rate sheet,
    Unit List Price
     on the PBRS will default in the
    Standard Rate
     column on the contract rate sheet.
  • Unit Price
     from the quote =
    Contract Rate
     on the contract rate sheet.
  • When you override a unit cost on a quote role line, Workday automatically:
    • Populates the
      Standard Cost Rate Override
       field on the resource plan line with the new value.
    • Populates the
      Standard Cost Rate Currency Override
       field with the service currency.
  • When you don’t enable
    Role Unit Cost Overrides
     for quotes, the 2 override fields on the resource plan line display as empty.
