Tolerance-Based Journal Line Matching Rules

You can create tolerance-based matching rules for journal lines for all matching methods:
  • One-to-one.
  • One-to-many.
  • Many-to-one.
  • Many-to-many.
These provide you with the flexibility to match transactions that have minor variations within boundaries that you control.
When you create a tolerance-based matching rule for amounts, you must select a write-off ledger account from the same account set to assign any write-off that results from a match.

Transaction Matching Write-Off Operational Transaction

When Workday matches journal lines using a tolerance-based rule, it creates an instance of a new Transaction Matching Write-Off operational transaction and journal to balance the open item match. Workday creates one operational transaction and journal per match, regardless of the number of journal lines being matched.
Workday populates one of these match types on the resulting match ID:
  • Rule Based Tolerance Matching - Ledger Amount
    when you’ve set up journal line matching based on ledger amount.
  • Rule Based Tolerance Matching - Transaction Amount
    when you’ve set up journal line matching based on transaction amount.
  • Tolerance Match - Automatic
    on write-off journal lines when your tenant is configured to always reverse operational journals and you unmatch an existing match.
You can drill down on a Transaction Matching Write-Off operational transaction to access the
View Transaction Matching Write Off
report. You can also access the
View Accounting for Transaction Matching Write Off
report from the related actions menu of Transaction Matching Write-Off operational transactions.
On the
Maintain Period Close Activity Groups
task, we provide a predefined
Transaction Matching Write Off
period close activity group for the Transaction Matching Write-Off operational transaction. You can change this period close activity group as required. You can’t match journal lines using a tolerance-based matching rule when this period close activity group is closed.
We deliver a new
Transaction Match Write Off Event
business process and security policy that triggers automatically as part of the
Schedule Matching Run
task when Workday creates a write-off transaction. This business process changes the status of write-off transactions from
In Progress
to
Final
. There are no initiating and approval actions secured by the business process security policy, but we recommend that you configure the view actions on the policy to grant view access to the business process events.

Balancing Worktags and Write-off Inheritance

The worktag balancing configuration in your tenant can affect the requirements for tolerance-based matching rules and the resulting write-off journal lines.
When a primary balancing worktag is enabled, you must add the primary balancing worktag as a match-on criterion for tolerance-based matching rules. Optional balancing worktags are not required, so you can choose whether to add them as match-on criteria.
Workday automatically populates any worktags that you add as match-on criteria to the resulting transaction matching write-off operational transaction and journal lines.

Reversing Tolerance-Based Matched Transactions

When you reverse a source accounting journal and your tenant is configured to always reverse accounting and operational journals, Workday keeps the match ID on the source and write-off journal lines.
When you unpost an accounting journal that was matched by a tolerance-based matching rule, and your tenant is not configured to reverse operational and accounting journals, Workday clears the match ID from the source journal lines, sets the status of the source accounting journal to
Unposted
, and sets the transaction matching write-off journal to
Canceled
.
When you cancel an operational transaction whose journal lines were matched by a tolerance-based matching rule, and your tenant is not configured to reverse operational and accounting journals, Workday clears the match ID from the source journal lines and sets the status of both the source operational journal and the transaction matching write-off journal to
Canceled
.
When you unpost a source accounting journal and your tenant is configured to always reverse operational journals but not accounting journals, Workday clears the match ID from the source journal lines, changes the status of the accounting journal to
Unposted
, and creates a reversal for the transaction matching write-off journal.
