Steps: Set Up Travel Booking Records

  • To implement travel booking integration processing, contact Workday Professional Services or your consultant, and coordinate with your travel provider. The professional services group can determine scope, level of effort, and potential cost for assistance to create your travel booking inbound connector integration.
  • Security:
    Set Up: Expense Item
    domain in the Expenses functional area.
You can download and map corporate travel booking records from your travel management provider into Workday Expenses. Workday hides travel booking records from emplyees by default.
  1. Map expense items to align with the travel record types your provider sends in inbound data.
  2. Set up airlines, hotels, and car rental agencies with global 2-letter travel merchant codes as alternate names. This configuration enables inbound integration to map travel booking records to merchants you defined in Workday.

list or when creating expense reports. However, travel administrators can import and view these records, and all data remains available for reporting and analytics.

If you want to make travel booking records visible to your employees, you must:
  • Access the
    Edit Tenant Setup - Financials
    task.
  • Under the
    Expenses Options
    section, select the
    Display Travel Booking Records to Employees on Expense Reports
    check box.
