Steps: Add Supporting Balances to Account Reconciliations in AP&C

In Adaptive Planning and Consolidation (AP&C), as the active preparer on an account reconciliation for a fiscal period, you can add and update supporting balances. You can add attachments to support the supporting balance, and include comments.
To ensure continued performance, we recommend that you do not exceed 5,000 supporting balances per reconciliation.
  1. Access the
    View Reconciliation Workspace
    report for a reconciliation on which you're the active preparer, and click
    Manage Supporting Balances
    .
  2. On the
    Manage Supporting Balances
    task, add a row for each supporting balance:
    Option Description
    Reference Note
    Enter a reference note for the supporting balance.
    Company
    Select the company that this supporting balance applies to. You can only select from the companies specified on the account reconciliation definition.
    Workday populates the company automatically when only one company is specified on the reconciliation definition, or one company hierarchy that contains a single company.
    Ledger Account
    Select the ledger account that this supporting balance applies to. You can only select from the ledger accounts specified on the reconciliation definition.
    When the
    Ledger Currency
    is different to the
    Translation Currency
    , you must select a ledger account. Workday uses the ledger account to determine which account translation method to apply, based on the account translation rule set specified on the reconciliation definition.
    Workday populates the ledger account automatically when only one ledger account is specified on the reconciliation definition.
    Worktag
    Select worktags to apply to this supporting balance.
    Workday populates this prompt automatically when only one worktag is specified on the reconciliation definition.
    Book Code
    Select the book code to apply to this supporting balance.
    Workday populates this prompt automatically when the reconciliation definition specifies a book that has only one book code.
    Transaction Currency
    When you select a company on the supporting balance, Workday populates the company ledger currency as the transaction currency. You can change this to another currency.
    Workday uses the transaction currency and the ledger currency to populate the
    Currency Rate
    field.
    Transaction Amount
    Enter the amount on the supporting balance in the transaction currency.
    When you enter a transaction amount, Workday calculates and populates the ledger amount so that
    Ledger Amount
    =
    Transaction Amount
    ×
    Currency Rate
    .
    To reflect a translation adjustment on a reconciliation, add a supporting balance with
    0
    for the
    Transaction Amount
    and a nonzero value for the
    Ledger Amount
    .
    Ledger Currency
    Workday displays the ledger currency of the company on the supporting balance. Workday uses the ledger currency with the transaction currency to populate the
    Currency Rate
    field.
    When you don't select a company on the supporting balance, Workday uses the reconciliation currency on the reconciliation definition.
    Ledger Amount
    Workday populates the ledger amount automatically based on the
    Transaction Amount
    and
    Currency Rate
    .
    When you change the ledger amount, Workday updates the currency rate so that
    Ledger Amount
    =
    Transaction Amount
    ×
    Currency Rate
    .
    To reflect a translation adjustment on a reconciliation, add a supporting balance with
    0
    for the
    Transaction Amount
    and a nonzero value for the
    Ledger Amount
    .
    Currency Rate
    Workday populates the
    Currency Rate
    automatically based on the
    Transaction Currency
    and the
    Ledger Currency
    .
    When the transaction currency is the same as the ledger currency, Workday enters
    1
    as the currency rate.
    When the transaction currency is different to the ledger currency, Workday calculates the currency rate in 1 of 2 ways, depending on whether the
    Revalued Ledger Accounts
    check box is checked on the reconciliation definition.
    When the
    Revalued Ledger Accounts
    check box is:
    • Checked, Workday uses the currency rate as of the last day of the period being reconciled.
    • Unchecked, Workday uses the
      Balance Date
      on the supporting balance and
      Currency Rate Type
      on the reconciliation definition.
    When you change the currency rate, Workday updates the
    Ledger Amount
    so that
    Ledger Amount
    =
    Transaction Amount
    ×
    Currency Rate
    .
    Translation Currency
    Translated Amount
    Translation Rate
    Workday automatically populates the
    Translation Currency
    ,
    Translated Amount
    , and
    Translation Rate
    fields.
    The translation currency is the
    Reconciliation Currency
    selected on the reconciliation definition.
    Workday converts the amount on the supporting balance to the translation currency using the account translation rule set specified on the reconciliation definition.
    Balance Date
    Select the date of the supporting balance. Workday automatically populates the last date of the period being reconciled.
    Description
    Enter a description for the supporting balance. Example:
    Bank statement balance
    .
    Attachments
    Displays any attachments that have been added to the supporting balance.
    Comments
    Displays a thread of any comments that have been added to the supporting balance.
    Add Comment
    Enter comments to communicate any required information about the supporting balance. After you complete the task, Workday displays the comment in the
    Comments
    field for the supporting balance.
    You can also add comments from the grid on the
    Supporting Balances
    tab on the
    View Reconciliation Workspace
    report.
  3. After you complete the rows for your supporting balances, click:
    1. Continue to Add Attachments
      to add attachments to your supporting balances.
    2. Done
      to return to the
      View Reconciliation Workspace
      report without adding attachments.
  4. (Optional) On the
    Add Attachments to Supporting Balances
    task:
    1. On the grid, click
      Edit Attachments
      in the row for the supporting balance that you want to add an attachment to.
    2. Add your attachment, then click
      OK
      .
      The attachment size limit is determined by the tenant-level setting. See Reference: File Size and Printing Limits.
    3. After you add all attachments, click
      OK
      to return to the
      View Reconciliation Workspace
      report, or click
      Back to Supporting Balances
      to return to the
      Manage Supporting Balances
      task.
On the
View Reconciliation Workspace
report, Workday displays the:
  • Balance of the supporting balances in the reconciliation currency in the
    Reconciliation Summary
    section.
  • Details of the supporting balances on the
    Reconciling Items
    grid.
