Set Up Account Reconciliation Definitions in AP&C

Set up an account reconciliation definition in Adaptive Planning and Consolidation (AP&C) to determine which balances to reconcile, using criteria such as company, ledger accounts, worktags, and frequency. Assign users to preparer and approver roles for reconciliations created from this account reconciliation definition.
After you create reconciliations for a period using a definition, the only settings you can change on the definition are the role assignments and the autocertification rule. To change any other settings, you can either:
  • Inactivate the existing definition and create a new definition with the new values.
  • Cancel any reconciliations created from the definition, then change the definition.
  1. Access the
    Maintain Account Reconciliation Definitions
    task. Complete the task:
    Option Description
    Inactive
    Select to inactivate the definition.
    Example: You want to change a definition but you already created reconciliations based on it. You inactivate the existing definition and recreate it with the required changes.
    Definition Name
    Enter a name that helps you identify the reconciliation definition when you create reconciliations or when you view reconciliation details.
    Reconciliation Type
    The only reconciliation type that's currently available is
    Default

    Ledger
    Workday only supports the Actuals ledger for account reconciliation.
    Account Set
    When you select an account set, the
    Company
    prompt only shows companies that use it as the primary account set.
    Company
    Select the companies or hierarchies to include on reconciliations created from this definition. You can include companies that use different ledger currencies.
    After you select the first company or hierarchy, the prompt filters the remaining options to only display other companies or hierarchies that share the same primary fiscal schedule.
    When you update a hierarchy that's used on an account reconciliation definition to include a company with a different primary fiscal schedule, or when a hierarchy is no longer valid for any other reason, Workday displays an error the next time you try to edit the account reconciliation definition.
    Ledger Account / Ledger Account Summary
    Select the ledger accounts or ledger account summaries to include on the reconciliation definition.
    Worktags
    When you select 2 or more types of worktag on the definition, reconciliations that you create from this definition will only include journal lines that have all of those worktags.
    Book
    Select the book to include on the reconciliation definition.
    Revalued Ledger Accounts
    Select this check box when the ledger accounts on the reconciliation definition are revalued.
    When this check box is checked, Workday updates the
    Currency Rate at Period End
    and
    Ledger Amount at Period End
    fields on the reconciling item automatically based on the rate in effect at the end of the period.
    When this check box is unchecked and a reconciling item rolls forward to the next period, Workday doesn't update the
    Currency Rate at Period End
    and
    Ledger Amount at Period End
    fields on the reconciling item.
    Currency Rate Type
    Select the currency rate type that Workday will use when converting reconciling items and supporting balances from transaction currency to the ledger currency.
    Workday automatically selects the company rate type override, where available, or the currency rate type for the tenant. You can change this default.
    Reconciliation Currency
    Select a common translation currency for all ledger accounts on the reconciliation. Workday will convert balances from the ledger currency to this currency.
    When there's 1 company or company hierarchy on the definition, or all companies or hierarchies share the same ledger currency, Workday automatically selects that ledger currency. You can change this default.
    Account Translation Rule Set
    Select the account translation rule set that Workday will apply when translating balances from the ledger currency to the reconciliation currency.
    You must select an account translation rule set when the reconciliation currency is different to the ledger currency of any company on the definition.
    When the definition contains:
    • A single company, Workday automatically populates the account translation rule set based on the company accounting details of that company.
    • Multiple companies that have the same account translation rule set in their company accounting details, Workday automatically populates that account translation rule set.
    • A company hierarchy that has an account translation rule set specified in its consolidation details, Workday populates that account translation rule set.
    You can change this default.
    Risk Rating
    Select the risk rating to include on the reconciliation definition based on historical activity in the selected ledger accounts.
    Policy Purpose and Procedure
    Select from policy purpose and procedure documents created on the
    Create Policy Purpose and Procedure
    task.
    If you previously set up the basic account certification functionality, you can select policy purpose and procedure documents that you configured in certification sets for account certification. However, we recommend that you don't reconcile using both basic account certification and account reconciliation.
    Frequency
    You can select 1 of the fiscal summary schedules you set up for the primary fiscal schedule used by the selected companies. Example:
    Annual

    When you don't select a frequency, Workday creates account reconciliations on a monthly basis.
    When you create reconciliations, Workday uses the selected frequency in combination with the
    Period Options
    on the
    Create Account Reconciliation for Period
    task to determine which reconciliations to create.
    Autocertification Rule
    Select the autocertification rule that Workday will apply when you run autocertification for this reconciliation definition.
    The only rule currently available is
    No Activity for Period
    . With this rule, Workday will automatically certify reconciliations that have the status
    Not Started
    , have no activity in the general ledger, and have no supporting balances or reconciling items.
  2. Click
    OK

  3. In the row containing the reconciliation definition, click
    Assign Roles
    .
  4. On the
    Assign Roles
    task, assign users to the preparer and approver roles for account reconciliations created using this definition.
    Ensure that you assign approvers before preparers submit reconciliations. Approvers can't approve reconciliations that are submitted before you assign them to the definition.
  5. Click
    OK
    , then
    Done

report to identify ledger accounts that aren't covered by a reconciliation definition.
