Talent and Performance Enablement Overview

Overview

Workday Talent Optimization is a central component of Workday Human Capital Management (Workday HCM). This product gives customers all the tools they need to focus on:
  • Visibility - Who works here, what are they doing, and at what cost?
  • Alignment - What are the organization goals? Are the employees aligned with these goals?
  • Optimization - Where is the top talent deployed? Is that talent utilized, rewarded, and retained appropriately?
Customers can use talent data in their Opportunity Marketplace, when creating custom reports, and in succession planning.
The Workday HCM information, coupled with the objectives, skills, and capacity of your customers' workforce, gives them the data to understand current and future staffing needs.

Applications, Worklets, Reports, and Dashboards

Dashboards
Dashboards consolidate reporting data that you can configure on the Home landing page as applications. Workday provides preconfigured dashboards for distinct functional areas, and you can also create custom dashboards.
The
Talent and Performance
employee self-service dashboard is a configurable workspace that provides workers with current reports and tasks related to their own talent and performance. It acts as a launchpad for worker actions and decisions and centralizes many of the talent and performance self-service tasks your workers may need to access.
Use the
Maintain Dashboards
task to configure the
Talent and Performance
dashboard. Optionally, you can also add this dashboard to the Home page, to allow quick access for your workers. Examples of worklets that you can add to your
Talent and Performance
dashboard include:
  • Track My Goals
  • My Mentorship
  • Connections
  • My Feedback Received
  • Opportunity Graph
  • Custom Reports
Manager Insights Hub
The Manager Insights Hub uses machine learning to recommend a variety of personalized suggestions for your employees. This helps improve talent mobility, as well as employee satisfaction and engagement. Manager Insights Hub enables managers to:
  • Upskill and develip direct reports, supporting your organizational objectives.
  • Identify career growth opportunities for direct reports, promoting employee engagement and retention.
  • Leverage machine learning suggestions and insights, reducing time spent on individualed performance and career development.
  • Build and support high-performing teams, fostering productivity and efficiency.
The hub displays consists of different sections and cards that display insights from:
  • Career Hub
  • Check-ins
  • Compensation
  • Development items
  • Employee reviews
  • Feedback
  • Goals
  • Interests
  • Learning
  • Staffing
  • Time Management
  • Workday Peakon Employee Voice
Additionally, you can choose to override the hub title, add announcements for specific populations, and include suggested links to appear on the left-side navigation of the hub.
Important
: To access suggestions in the Manager Insights Hub, you must enable Skills Cloud and opt in to the HCM Machine Learning GA Features Innovation Service. Or alternatively, you may have signed the Universal Main Subscription Agreement.
Access to pages, sections, tasks, and reports depends on your organization's Workday product subscriptions. Additionally, security permissions will determine what data managers can view, and which tasks, reports, and cards they can use.
Applications
Applications provide users quick access to dashboards, reports, and tasks directly from a Workday landing page. A user's security permissions determine which applications are available on a landing page. For example, the Personal Information application is available to all employees, while the My Team Management application is only available to managers.
You can define applications as required or optional, based on a user's security permissions. Users cannot remove required applications from a landing page; however, they can add and remove optional applications. You may rearrange applications to assist business needs and use.
Delivered Worklets
Worklets provide quick access to frequently referenced data and tasks common to a specific functional area. You can display reports as applications on Workday landing pages or in dashboards. There are two types of worklets:
  • Custom worklets: You can create custom reports for these report types and then enable them as worklets: Advanced, Composite, Matrix, nBox, Transposed and Trending
  • Workday-delivered worklets: You cannot copy or modify Workday-delivered worklets.
If you share a worklet, it becomes available for authorized users to select when configuring dashboards available to them.
The
Configure Worklet
task allows you to configure which tasks and reports should display in an application.
Workday delivers over 160 standard reports to support your talent and performance reporting needs. To see the delivered reports, view the
Workday Standard Reports
report and filter by the following categories:
  • Talent
  • Talent Calibration
  • Set Up Talent
  • Goals and Reviews
  • Organization Goals
  • Succession
  • Talent - Retention Risk categories
Find Workers
The
Find Workers
report allows you to search and filter your worker by various criteria, such as location, job profile, or potential assessment. As you select a value (or facet) for any filter category, the report dynamically updates. The report also displays facet value counts to help you understand the worker population in each criterion.
The facets on the
Find Workers
report are generic categories delivered by Workday. The values for the facets correspond to your specific tenant data. For example, the facet Job Profile displays your specific job profile values. The number in parentheses next to the facet indicates how many workers have that facet value. Maintaining current, up-to-date talent data for your workers allow you to effectively use that data in faceted searches.
By default, Workday selects no facet values. As you narrow your search, Workday dynamically updates the facet value count numbers for other facet values. When you reduce a facet value count to zero, Workday hides it. If you reduce all values for a facet to zero, Workday hides the entire facet.
Workday secures the
Find Workers
report to the Search: Find Worker domain. Workday secures Individual facets by the domain of their underlying report fields. Without view access to a facet's domain, Workday does not display that facet on the
Find Workers
report. Even if you have access, Workday only includes those employees whose data you have permission for.
Example
: You have permission to view the performance rating facet, but only for certain employees. The facet value counts for the ratings will only include the appropriate employees.
You can save any faceted search and use later. For example, if you create a search using the facet Critical Job with a value of yes, and the facet Current Performance Rating with a value of Unsatisfactory or Needs Improvement, you can save it for later use. By selecting Save, and entering a name for the search, such as Low Performers in Critical Jobs, you can easily run the search again without reselecting the facets.
Select the Open link at the top of the faceted search window to open saved searches. Select the Save button to save a current search.
You can create a custom version of the
Find Workers
report using Workday Report Writer. A custom search report enables you to control the available search facets, the order, and the fields that display in the search results.
Find and Compare Workers
Within the
Find Workers
report, a compare tool is available. This tool allows you to select workers to compare and analyze in a convenient side-by-side format. Key worker attributes in compensation, talent, and work history display in the comparison. You can choose workers by selecting the checkbox next to their name. Select the Compare button to open the
Compare Workers
report to display the selected workers and their information across the top of the report.

Worker Profile Summary Groups

There are three talent-related Profile Groups on the Worker Profile:
  • Performance
  • Career
  • Feedback
The Performance profile group displays performance and talent-related information. Examples include:
  • Performance Reviews
  • Individual Goals
  • Competencies
  • Development Plans
The Career profile group displays information related to a worker's career. Examples include:
  • Interests (i.e., Career, Travel, and Relocation)
  • Job Applications
  • Skills
  • Development Items
  • Certifications
If configured, customers can allow workers to update their career information via self-service. These self-service tasks use the Workday business process framework.
The Feedback profile group displays worker-related feedback. Examples include:
  • Feedback Received
  • Feedback Requested
  • Feedback Given
Workers can also request ad hoc feedback from other workers and managers using the Get Feedback button.

Talent Pools

Talent pools are groups of workers that you can define based on any criteria. For example, you can create a talent pool of all Chinese-speaking instructors. You may also want to create another talent pool of workers who have the skills and experience necessary for a new cross-functional project. You can create as many talent pools as you need.
There are two methods for managing talent pools:
  • Static
    : You manually maintain pool membership by tagging workers or manually adding them to the talent pool.
  • Dynamic
    : Workday determines pool membership dynamically based on the results of a saved search.
Associate at least one assignable role with talent pools. You can create a role, such as Talent Manager, and enable that role for the organization type of Talent Pool. You can also configure the system so Workday assigns the Talent Manager role to whomever creates a talent pool. Use the
Maintain Assignable Roles
task to assign the role. Also create a corresponding role-based security group, which assigns permissions to the Talent Manager role. Talent pool information is only visible to those workers who have a role on the talent pool, regardless of their access to the workers or workers' organizations.
Static talent pools can be used to facilitate a range of talent management business processes, including the initiation of formal cycles such as performance reviews, talent reviews, goal setting, and development plans. Additionally, talent pools can be used to perform targeted actions like printing talent cards and managing succession plan assignments.
Static Talent Pools
Use the
Create Talent Pool
task to create a static talent pool. You can add members based on manual selection. Once you add the workers as members, the talent pool remains static, unless you manually add or delete workers.
A Find Workers button displays when you save the static talent pool. Select this button to start the process of adding workers to the pool. You can also assign a worker to a talent pool.
Dynamic Talent Pools
Dynamic talent pools use a search filter to dynamically determine the members of a talent pool. You create a dynamic talent pool the same way as a static talent pool, but you add members from a saved search. You can select the searches that you saved on the
Find Workers
report. These talent pools have the word "Dynamic" appended to the name, since Workday dynamically determined membership.
Talent Pool Security
Talent pool information is only visible to users who have a role on the talent pool, regardless of their access to the workers or workers' organizations. Talent pools are considered to have open security when anyone with a role on the pool can view all of the pool members.
Additionally, you can create restricted talent pools to limit access to member information. Restricted talent pools provide managers and other designated roles insight into talent pools for workers in their organizations. This restriction enables them to only access information about their own employees within the talent pool.
Lastly, you can create private talent pools with restricted access. They are only visible to the creator of the talent pool, and they only display the workers in your supervisory organization. To work with private talent pools, you must have a role on the talent pool and security access to Talent Pool domains.
To create a private talent pool, use the
Create Private Talent Pool
task or select it from the
Talent Pools
report. When a user creates a private talent pool, a My Private Talent Pools section displays on the
Talent Pools
report.

Workday Mobile

Workday Mobile features are streamlined and optimized for mobile devices. Some features include functionality exclusive to mobile devices, while others do not include all the detail or functionality found in the Workday browser application.
The translation functionality for each language corresponds to the translated areas for that language. For example, Employee Self-Service/Manager Self-Service languages have the corresponding mobile functionality in that language.

Workday-Delivered Reports

Workday Talent Optimization has several delivered analytical reports. You can use these reports to help with job tasks or gather helpful information. Below are Workday-delivered reports about topics discussed in this chapter.

This advanced report enables administrators to view all Workday-delivered reports.
Employee Review Status Summary report
View a summary of reviews with a status of Not Started, In Progress, or Complete. You can view a summary and the review templates for one or multiple organizations.
Talent Snapshot report
This report displays the key talent-related details for a worker and all the direct reports for a manager.
Hiring Success Analysis report
This report summarized high performing and low performing workers by manager.
My Team's Talent Summary report
This report shows all direct reports for a manager. It also provides a graphical representation of the workers overall performance rating in the form of 1-5 stars.
