Evergreen Requisitions
Overview
Evergreen requisitions enable you to source and track candidates continuously. This requisition type allows you to fill seasonal, high volume, and hard-to-fill positions. Evergreen requisitions behave like regular job requisitions and follow the same recruiting workflow. The difference is that candidates cannot move to the Employment Agreement or Hire stages. You must transfer them to a regular job requisition.
In this chapter, you will learn how to create and manage evergreen requisitions and manage evergreen candidates.

Evergreen Requisitions
Evergreen requisitions allow you to:
- Link to one or more job requisitions.
- Copy an evergreen requisition to create a job requisition.
- Post evergreen requisitions to external and internal career sites.
- Process candidates through theJob Applicationbusiness process.
- Move candidates (their data and workflow history) from an evergreen requisition to a linked job requisition.
- Move candidates to a different evergreen requisition with a job profile in common.
- Move candidates between job requisitions that have a shared evergreen requisition.
- Move unsuccessful candidates from a job requisition back to the linked evergreen requisition.
- Create a list of candidates who were eligible for consideration on the evergreen requisition to help facilitate compliance and productivity reporting.
Note
: Evergreen requisitions have no relationship to positions. Once you determine which position to hire the candidate into, transfer them to the job requisition connected to that position.Creating Evergreen Requisitions
You can use the
Create Evergreen Requisition
task to create a new requisition. Use the Copy Evergreen Requisition
task to copy from an existing evergreen requisition. You can also copy an evergreen requisition by accessing the task from the evergreen requisition's Related Actions > Copy > To Create Job Requisition. Once the create or copy task completes, Workday initiates the Evergreen Requisition
business process. Workday appends "Evergreen" to the requisition number and name.Resource

When you are ready to make an offer or hire a candidate, you must move the candidate to a linked open job requisition.
You can link an evergreen requisition to a job requisition using these tasks:
- Create Evergreen Requisition
- Edit Evergreen Requisition
- Create Job Requisition
- Edit Job Requisition
The job profile connected to the job requisition must match one of the job profiles connected to the evergreen requisition.

: Once you move a candidate between linked requisitions, you cannot remove the link.Managing Evergreen Requisitions
Editing a Requisition
Use the
Edit Evergreen Requisition
task to modify an evergreen requisition. If you edit a posted evergreen requisition, you may need to unpost and repost your jobs to ensure your career sites reflect these changes.Note

Change
business process.Closing an Evergreen Requisition
To close an evergreen requisition, from the requisition's Related Actions, select Job Change >
Close Evergreen Requisition
. This task permanently closes the evergreen requisition. The task does not close the job requisitions connected to it.Optional Fields on Evergreen Requisitions
Workday allows you to hide or require fields when you create or edit an evergreen requisition. You can require or hide the fields for all users or just for specific security groups. You can also configure certain fields as read-only. Use the

task. Select the Recruiting functional area to view the available options.Managing Candidates for Evergreen Requisitions
If a candidate applies to an evergreen requisition, the
Job Application
business process determines the available steps: decline, make an employment agreement, or initiate a hire. Once a candidate gets to the Employment Agreement or Initiate Hire stages, you must move the candidate to a linked job requisition to complete the transaction.Move Candidates from Evergreen Requisition to Job Requisition
If you wish to move a candidate to the Employment Agreement or Ready for Hire stage, move them from the evergreen requisition to an open, linked job requisition. You cannot move rejected candidates or candidates declined from the evergreen requisition.
You can use the following methods to move one or more candidates:
- Mass Actions on the job requisition profile.
- Get Move to Linked Job Requisition web service.
- Candidate's Related Actions and select Job Application > Move to Linked Job Requisition.
- Job application's Related Actions.
Move Candidates from Job Requisition to Evergreen Requisition
When you move candidates from an evergreen requisition to a job requisition, you can move them back to the original open evergreen requisition. You cannot move candidates that:
- You reject or decline from the job.
- Did not first apply to the evergreen requisition.
Move Candidates from Job Requisition to Another Job Requisition
You can move a candidate's job application to another job requisition that has a common evergreen requisition. To move a candidate from one job requisition to another, use one of these methods:
- Select the candidate's Related Actions > Move to Another Job Requisition.
- Select the task from the Mass Actions button on the Candidates tab of the job requisition.
Once you move a candidate, Workday:
- Moves the candidate and all related data and history from one requisition to the other. The candidate's job application is no longer connected to the original job requisition.
- Sends a My Tasks item to the role assigned to the appropriate stage.
- Records the action on the Activity Stream tab on the candidate's job application.
- Assigns all pending events to the person on point for the evergreen or job requisition.
Move Candidates from Evergreen to Another Evergreen
You can transfer a candidate's job application to another evergreen requisition with a common job profile. To move a candidate from one evergreen requisition to another, use one of these methods:
- Select the candidate's Related Actions > select Move to Another Evergreen Requisition.
- Select the task from the Mass Actions button on the Candidate's tab of the job requisition.
Once you move a candidate, Workday:
- Moves the candidate and all related data and history from one requisition to the other. The candidate's job application is no longer connected to the original evergreen requisition.
- Sends a My Tasks item to the role assigned to the appropriate stage.
- Records the action on the Activity Stream tab on the candidate's job application.
- Assigns all pending events to the appropriate person for the evergreen requisition.
Consolidated Candidate Pool Snapshots
The
Consolidated Candidate Pool Snapshot
report helps define the applicant pool for OFCCP compliance. This report defines candidates from the candidate pool for a job requisition where you made a hiring decision. The report combines evergreen candidates eligible for consideration at the time you made a hiring decision with candidates on the job requisition.
The candidate pool sends information to the Candidate Flow
report. Use this report to further refine candidates to identify your applicant pool for regulatory reporting purposes.From the snapshot, you can view candidates who:
- Applied directly to the job requisition.
- Applied to an evergreen requisition before the date of the snapshot.
- Moved from an evergreen requisition to the linked job requisition.
Candidates not considered eligible for consideration are those:
- You rejected before the recruiting start date on the job requisition.
- Who withdrew from the linked evergreen requisition before the date of the snapshot.
You can create multiple snapshots.
