Example: Enable Local Administrators to Manage Members of Access Control Groups

This example illustrates how to set up access groups so local leaders can manage group membership indirectly.
You have a 3-tier access to managers in your company:
  • Managers (access to view dashboard)
  • Managers + (access to view dashboard and comments)
  • Managers ++ (access to view dashboard and view/respond to comments)
Local administrators in your organization need autonomy to manage their own employees to the fullest extent. Example: granting access to employees or segments, and adding users to the appropriate access control group.
Only administrators can directly add or remove access group members, so you need to link access groups to the relevant segments.
  1. Go to the
    Attributes
     section in the
    Administration
     area.
  2. Click
    Add attribute
    .
  3. Name the attribute by its function. Example: Manager Access.
  4. Set
    Attribute type
     as Option.
  5. Click the
    Advanced
     section.
  6. Expand the
    Segments
     section.
  7. Select
    Don't automatically create segments
    , to ensure data imports containing options spelled differently to existing segments don’t create new segments.
  8. Click
    Save changes
    .
  9. Within the new attribute, click
    Add segment
    .
  10. Write the segment name, then click
    Add
    . Repeat for all 3 required segment options: Managers, Managers +, and Managers ++.
  11. Navigate to
    Administration > Access Control
    .
  12. Open the
    Managers
     group.
  13. Click
    Edit
    , then set
    Only including
     to the Managers segment. Click
    Save changes
    .
  14. Enable relevant settings under
    Access Statistics
     section, and disable settings under the
    Comments
     settings section.
  15. Now we repeat the above steps while creating the 2 additional access control groups. Click
    Add group.
  16. Name it Managers +, select
    Managed employees
    , also select
    Choose by segments
    .
  17. Link it to the Managers + segment.
  18. Enable relevant settings under
    Access Statistics
     section, and view-only settings under the
    Comments
     settings section.
  19. Click
    Create group
     to confirm.
  20. Repeat steps 15-19 for Managers ++, ensuring
    Comments
     section enables comment interactions.
Now you have 3 access control groups: Managers, Managers +, and Managers ++. All 3 groups have slightly different settings enabled, and all are linked to a respective segment.
Employee records now have a Manager Access attribute field on their employee records. Local administrators can open a manager's employee record and set their Manager Access field to one of the options. Peakon will automatically place that manager into the relevant group. If the manager doesn’t already manage employees or segments, Peakon will only add them to the relevant group when you complete this condition.
