Setup Considerations: Employee Records

What It Is
Each employee that you add to Peakon has a dedicated employee record page that displays their basic information and demographic data. You can use this data to target questions or surveys and to compare results by different demographic attributes.

How do you plan to import employee data? | You can sync employee records by creating an integration between Peakon and your Human Resources system. Example: Workday, Personio, BambooHR. You can also import worker data manually using an Excel file. This option remains available even if you're already automatically syncing employee records through an integration. |
Do all employees have at least 1 unique identifier? | Each employee must have a unique account email address and/or a unique employee number. Account email addresses cannot be reused across employees, even if employee numbers are unique. Every employee record must also include a first and last name. Personal email addresses only need to be valid email addresses. Peakon does not validate them for uniqueness, so the same personal email address can be used by multiple employees. |
How do you plan to make changes to employee records? | You can import employee record data manually as often as needed. We recommend updating employee records before the survey round has started, to ensure that each segment contains the most up to date information during the next survey round. Note that due to data aggregation, changing employee records doesn't retroactively remove employees from existing dashboards if they've previously been part of those segment groups within the data validity window. If you intend to sync employee records automatically, the sync updates employee records on a continuous basis as you update employees in your original Human Resources system. |
How do you want to manage leavers? | Once an employee has left your company, they no longer receive Peakon surveys from their separation date onward. You can update separation dates in advance and Peakon automatically treats the employee as a leaver after the date has passed. If you update an employee's separation date on Peakon after it has already passed, Peakon retroactively removes that employee from any survey rounds they were surveyed on (ie. sent a survey email) after the separation date. You can manually import employee separation dates as often as needed, or let an automatic employee sync update this information automatically. |
Do you plan to import all employees? | Consider whether you plan to import all employees, or skip certain groups. If you manually import employees, you can manage this using the Excel sheet that you import, by excluding rows of those employees that you don't want to import. If you're using the Workday integration, you can use a custom override to control worker eligibility and exclude certain employees from syncing to Peakon. See Concept: Worker Eligibility. It's also possible to include contingent workers, if needed. |
Recommendations
- Start by exporting a template from Peakon, if you need to import a file with employee data. The template contains the right format and an example for each attribute's column.
- Change attribute and segment names in Peakon before doing an import or a sync to prevent the creation of new segments if there's no exact match, or errors if there are no matching attribute names.
- Avoid having more data than necessary in an import sheet. Example: Only import a sheet with the necessary columns if you're setting a retroactive validity date for the imported data.
- Reorder your attributes in if you need them to display in a different order in your import file, heat maps, and employee records. It's not possible to reorder these standard fields: Employee ID, First name, Last name, Email, Phone, Language, and Timezone, which always display first in import files.

Requirements
- Set up your attributes structure first. See Setup Considerations: Attributes and Segments.
- Map your attributes to standard values if you're automatically syncing your employees from a different system. See Configure Attribute Mapping for Benchmarks.
- Each employee must have a unique identifier (email address or employee number) in your HR system.
Limitations
- It's not possible to have an integration with 2 Human Resources systems at the same time.
- It's not possible to backdate segment values through an automatic sync, only through an Excel upload or a manual update on the employee record.
- Manual employee uploads through Excel have a limit of 20,000 records per upload.

You can populate employee data and their segments by integrating Peakon with your HR system. Peakon provides out-of-the-box integrations with Workday, BambooHR, bob, Personio and BetterUp. It's also possible to create your own custom integration using SCIM 2.0.
