Set Up Exit Surveys

Exit surveys enable organizations to gather feedback shortly before and after an employee’s departure, ensuring questions are delivered at the most relevant times. Before setting up the survey schedule, ensure that you’ve added personal email addresses to employee records.
You must decide which Exit questions should apply only before the employee’s separation date, which should apply only after separation, and which should apply both before and after.

We recommend using rule-based questions (question timings) when surveying leavers. Manual mode and the algorithm are also possible, but comes with drawbacks. The algorithm can result in exited employees receiving multiple or repeat questions, while manual mode creates a high overhead to track and manage exited employees in surveys.
You can only configure the question timings for the Exit questions set when using a weekly survey schedule. When you configure the rules, Peakon automatically adds suggested optimal timings for each question. However, you can customize the timings to fit your organization’s processes.
To survey exited employees, ensure you have set up a method to input employee’s personal emails (either manually or through sync). Questions are sent to their personal email addresses only once they have exited the organization.
If your organization uses the Workday - Peakon integration, ensure that terminated workers retain key attribute values needed for survey targeting and eligibility. In Workday, certain fields are cleared upon termination, which can affect whether exited employees are correctly included in Exit surveys. To prevent this, see Maintain Attributes for Terminated Workers for steps to preserve attribute values as of one day before termination.
  1. Configure the Exit question set:
    1. Navigate to
      Administration
      Questions
      .
    2. Select
      Exit
      .
    3. Click
      Configure
      .
    4. Toggle on the questions you want to include.
  2. Set up question timings:
    1. Choose the rules (
      before separation
      ,
      after separation
      , or both).
    2. Select
      Add question timing
      on a question.
    3. Update
      .
  3. Create a survey schedule for Exit:
    1. Navigate to
      Administration
      Schedule
      .
    2. Create a new schedule and select
      Employment Status: Employed
      for active employees or
      Left
      for exited employees.
    3. Select the
      Frequency
      tab.
    4. Click on the
      Exit
      question set category.
    5. Save
      changes.
You have now set up the Exit questions. Exit survey insights are available on Question and Driver scores and the Heat Map. Aggregated scores include responses according to the Inclusion of former employees setting.
