Concept: Multiple Survey Schedules

Typically, all employees are on the standard
Company
schedule. You can use segment targeting to run multiple surveys at the same time, meeting the demands of the different parts of your organization. This can be useful when different areas of the company need different communications, frequencies, and other settings.
Because of the survey customization options, we recommend reviewing your current use case to decide if a separate schedule is necessary, and aligning survey end dates if you do conduct multiple survey simultaneously.
Note that if you have multiple use cases that overlap, you need to create a separate survey schedule if even 1 of the use cases requires it.
Use Case
New Schedule Necessary?
An employee segment needs to be on a different survey frequency than the standard Company schedule.
Yes. Create a new survey schedule, set Survey Frequency and target the survey to that specific department.
You want to target questions to particular key moments in the employee experience (Onboarding or Exit).
Yes. Create a new survey schedule with the appropriate Employment Status (Employed or Left) and configure question timings.
You have employees across multiple time zones, and they need to receive the survey at 9AM in their local time zone.
No. Instead, set the survey schedule time zone to the most-eastern time zone of your company, so the send-out can start early enough for the first time zone.
Additionally, set employee record time zones, so each employee receives the survey in their local time zone.
A group of employees needs additional targeted questions, or you need to exclude them from specific questions.
No. Instead, use question targeting.
A group of employees needs different survey email content. Example: You need to add a link to an internal policy, which only applies to 1 area of the organization.
Yes.
A subsidiary company needs its own survey logo and survey name. Example: Your Voice.
Yes. Create a new survey schedule and override survey name and logo.
Your organization has multiple subsidiaries or brands that need to override the name and logo of the parent company with their own.
No. You can keep all subsidiaries on the same survey schedule, and still override company name and logo.

Dashboard Results

If a specific segment contains employees that are part of different survey schedules, scores for the segment update each time there’s a live survey. During each survey round, the visibility window of the segment moves forward.
Example: The main survey is on quarterly frequency and a new starters survey is on monthly frequency. The visibility window for segments that contain a new starter moves forward every month.
The dashboard of the segment additionally recalculates focus areas, strengths, and topics if 1 of these conditions is true:
  • 30% of employees from the segment are in the survey round.
  • The aggregated participation is 25% higher since previous recalculation.

Good to Know

You need to configure these survey settings separately for each survey schedule:
  • Kiosk mode.
  • Survey attributes for demographic data collection.
  • Survey branding.
When employees are added to two overlapping surveys and the same question set is active for both, one survey will have a lower number of questions as they won't receive repeated questions, with an exception for manual surveys, which triggers all active questions of the question sets you enable. Recommendation

We recommend aligning survey end dates, because:
  • The data comparison features use the survey end dates.
  • Each survey accounts for 1 point in time in the
    Score over time
    graphs. If you have multiple surveys ending on the same day, they display as the same survey end date, making it easier to compare data from different rounds.
  • In the case of multiple surveys ending during the same week, the
    View previous scores
    function displays the end date of the last survey of the week. The dashboard contains the aggregated survey data up until that point.
