Concept: Answering Surveys
Every time a survey round opens, each surveyed employee has a unique survey token. When the survey send-out time begins, employees receive a notification that leads them to their unique survey link using the assigned token. It's possible to answer the survey before receiving any notifications, by logging into your mobile app or accessing your personal dashboard.
If you start answering the survey, then leave the page, the answers will save in your browser cache within the specific device (subject to browser settings). Before submitting the survey, you can go back to already answered questions to revise your answers.
Survey Delivery
If a surveyed employee didn't receive their survey:
- Ask the employee to check spam.
- Check with IT that you’ve authorized the relevant sender email addresses.
- Check theEmail statusfilter on the employees page.
If an employee didn't receive their survey, because they're not part of the survey:
- Check that the Survey Inclusion checkbox is selected on the employee's record. This option is selected by default and should be cleared if the employee shouldn’t be included on the survey.
- Check that they don't have a future start date or a past separation date.
- Cross-reference the targeted segments of the schedule vs. the employee record.
It's important that employees don't share their survey links with their colleagues. This could lead to an employee completing a survey on their colleague's behalf.
Rule-Based Questions Eligibility
Only employees who meet the eligibility criteria for specific questions with defined timings will receive the surveys. Rule-based questions allow administrators to trigger onboarding and exit questions at precise points in an employee’s journey.
- Onboarding Questions: Employees will receive onboarding questions if they are eligible, typically after they’ve been with the company for a predefined period. Example:2 weeks after starting. The system ensures that only employees who meet the question timing criteria on the survey round date, will receive these questions. Employees who haven’t reached this point will not be surveyed.
- Exit Questions: Exit questions are sent to employees whose separation date aligns with the question timings. You can choose to survey employees before their last day (Example: 2 weeks before separation), or after they have left (Example: 2 days after separation), or use both before and after rules to maximise response rates. This flexibility helps capture feedback from all exiting employees, including those with short notice periods or limited availability before leaving. Note that you must include the employees’ personal email address to survey exited employees.
When a question have both before and after separation rules:
- The employee is added to a survey round when they become eligible for the before rule.
- If they do not respond and their separation date occurs mid-round, they are removed from that round.
- Because they didn’t submit a response, they become eligible for the after rule in the next applicable survey round.
Note: This assumes the before and after separation questions are identical. If the questions differ, the employee may be included in both survey rounds.
Kiosk
If an employee using kiosk mode can't access their survey:
- Check that they’re part of the survey.
- Ensure they’re using the correct version of their first name and employee ID. Often employees struggle to access kiosk due to having multiple names and not knowing which ones the company placed in theFirst namefield. Additionally if you're using prefixes for employee IDs on employee records, the employee must enter the same ID.
Kiosk surveys time out after 5 minutes or 4 hours of inactivity (configuration dependent), if there’s no interaction. Before the session times out, the survey indicates that it will redirect after 10 seconds, offering the option to continue the survey.
Resetting
It's only possible to reset the whole survey, rather than only edit a few questions. Employees can reset their survey as long as the survey round is not hard closed. It's possible to reset the survey by opening the same survey link again, and confirming that you would like to reset your survey.
It's also possible to resend the survey in the
Rounds
tab of an employee record. If the employee already answered that survey, they’ll have the option to reset it when they receive the email.Localization
The language drop-down displays the enabled languages within the schedule settings. If you don't specify any languages in the schedule settings, the drop-down displays all existing survey languages. Selecting a language preference in your survey will set it for future surveys too.
Unsubscribe
Employees can unsubscribe and resubscribe at the bottom of the survey email. Unsubscribing to survey emails doesn't unsubscribe you from other email types. Example: Acknowledgments or comment replies, which have their own unsubscribe option.
Employees using the personal dashboard can manage their subscription preferences in their profile settings.
Administrators don't have access to view which employees unsubscribed, to protect confidentiality to the fullest. It's possible to bulk resubscribe employees to survey emails within the
Email
tab of the schedule.
