Example: Set Up a HiredScore Email Template

This example illustrates:
  • How to configure email templates accessible to end users from the HiredScore UI (Recruiting Productivity Hub).
  • A sample configuration of the Contact Fetch Candidate email template that’s triggered in Fetch by the Contact Lead and Invite to Apply button within the HiredScore UI.

Your organization uses HiredScore’s email templates to contact Fetch leads, share profiles with colleagues and Hiring Managers, and to contact managers and employees using Internal Fetch (for organizations with this product). These email templates are accessible through the HiredScore UI, where specific actions trigger the automatic population of an email template in your supported email provider, such as Outlook.
HiredScore has default templates for your account, which you can also customize further. Customization options include:
  • A specific message title and body text.
  • Dynamic parameters from a set list of supported parameters. These are automatically populated with the relevant data point such as candidate name and requisition location when used in HiredScore.
These options are available for each email template and supported language.
Your implementer must complete the steps to configure and authenticate the HiredScore integration in Workday.
Enable the related action for the relevant email templates to display in the HiredScore UI using the AIRC Functional & UI > Candidate Profile UI sub-tab on the HiredScore Tenant Setup task.
Changes submitted on this tab impact your account's configuration in HiredScore and existing configurations (including custom rules or filters) are overridden. Changes can take up to 30 minutes to display in the HiredScore UI. In some cases, this may take longer.
  1. Access the
    HiredScore Tenant Setup
    task in Workday.
  2. On the
    AIRC Functional & UI
    tab, select the
    Email Communication Templates
    sub-tab.
  3. Click
    Edit
    on the
    Contact Fetch Candidate
    email template.
  4. Select the
    Target Language
    of the email template you want to edit.
    Available languages are HiredScore’s supported UI languages.
  5. Click
    OK
    .
  6. Review the current email template configured for your account.
    The default email templates display for first-time implementations.
  7. Edit the
    Subject Line
    .
  8. You can copy and paste parameters from the
    Available Params
    list into the
    Message Body
    to customize it.
    When the Contact Fetch Candidate message is triggered, it automatically populates these parameter labels with the relevant data points, such as the candidate’s first name.
    To avoid errors, ensure that you copy and paste the parameters without altering the parameter names.
  9. Click
    OK

  10. Review your changes and click
    Done
    .
  11. Verify your changes in the HiredScore UI to ensure that the email template updates and the parameters populate the correct data.
A sample Contact Fetch Candidate template configuration displays as follows in Workday:
When you click
Contact Lead and Invite to Apply
in the HiredScore Fetch UI, HiredScore opens a draft email in your email provider.
The email uses the template configuration and populates data for parameters, such as
{candidate_first_name}
. You can make ad hoc changes to the message and then send the email.
Repeat the configuration steps for any email templates and language versions that you want to customize.
