Export Search Results to Excel

You can customize and export search results to Excel to analyze document, clause, and field information. By default, Contract Management and Document Intelligence preselects the fields to include on the Excel file, based on the search results. You can also save multiple export configurations for future searches.
  1. Click
    Search
    .
  2. Run a search.
  3. Select
    Export Excel
    .
  4. From the search results, select
    Export Excel
    .
    The Excel file includes all documents that come up in the search results. You don't need to select or clear the check box for an individual document.
  5. (Optional) Select the fields and clauses you want to include in the Excel file.
    By default, a few fields are preselected based on the search results. Example: The Folders field is always selected by default.
    Use the
    Search
    field to find fields and clauses by name.
    Select
    Select All
    to include all available options on the Excel file.
    Select
    Include Duplicates
    to include duplicate items on the Excel file.
    We display the number of:
    • Filters you select
    • Resulting documents.
    • Duplicates
  6. Click
    Export Excel
    .
If your workspace has fewer than 100,000 documents and you are exporting 5,000 rows or fewer, you can download the file to your computer. Otherwise, we display a notification that the export has started and send an email with a unique download to your registered email when the export is complete.
The Excel file export contains these fields:
  • Document Info:
    Metadata with unique document URLs.
  • Clause Info
    : Lists clauses and document names.
  • Table Info
    : Includes table data if applicable (requires table algorithms enabled).
  • If you don’t see the
    Table Information
    tab on the Excel file, table algorithms may not be enabled in your workspace. Contact support@evisort.com for assistance.
  • When you include duplicates, we display these fields on the Excel file:
    • DocSetID
      : You can use this ID to filter or group copies of a particular document and run data patches.
    • Duplicate Status
      : This will either be Primary or Duplicate.
      • The Primary copy of the document is the first version uploaded to the platform. If that document is deleted from the platform, the next most veteran document in the platform becomes the Primary document.
      • An Admin might see 1 Primary and 1 Duplicate version of the same documents, but a Power User sees only 1 Primary document. The documents could be in different locations based on access settings for the Power User.
    • Duplicate List
      : This list includes the DocID, File Name, and URL of the duplicate documents. When you exclude duplicate documents, the report displays the Primary document.
