Grouped Tickets and Signed Documents

Workday enhances the Groups functionality in Contract Management and Document Intelligence to consolidate pre-signature workflow tickets and post-signature repository documents into a single, cohesive view.
Business Benefits
By enabling hierarchical relationships and centralized access, this enhancement eliminates the need to navigate to multiple folders or ticket queues, reducing legal risk and increasing contract execution velocity.
Changes
  • Apart from the existing
    Groups
    view under the
    Documents
    tab, we also add a
    Groups
    view under the
    Workflow
    tab.
  • We provide a new
    Groups contextual side panel
    accessible anywhere where a ticket or document is displayed, allowing users to view all group affiliations and group member lists without navigating away.
  • We introduce dynamic versioning, which automatically displays the latest document version by pulling from the active
    Ticket
    or the completed
    Repository
    .
  • We add visual differentiation using distinct icons to help users instantly identify whether an item is a pre-signature ticket or a post-signature document.
  • We introduce isolated unlinking and smart removal logic:
    • Unlinking an item from one group doesn’t affect its status in other groups.
    • Removing an item from a group doesn’t affect its related items, which stay in the group to maintain context.
  • We replace the
    Related Documents
    tab on the
    Document Details
    page with the
    Groups
    side panel.
  • Search: We add
    Groups
    as a search filter and a column within the main global search results.
  • Ask AI
    : We add
    Groups
    as a new scope option in Ask AI, enabling users to ask questions about documents in the repository or the document file associated with each ticket, within a specific group.
  • Admin permissions
    : We add a new
    Groups
    section to the New Role > permissions page, consolidating the
    Groups: Edit and Groups: View
    settings for easier management.
    • The Workflow-only role now includes
      Groups: Edit
      access by default, allowing users to seamlessly create, edit, and view groups.
What Do I Need to Do?

Enhanced Optical Character Recognition (OCR) and Table Processing

Workday is enhancing document processing and OCR capabilities to provide more accurate data extraction from table-heavy documents.
Business Benefits
Users obtain better AI results when uploaded documents contain important values inside tables. Workday is better able to return the value from the right table cell and show the source highlight when one is available.
Changes
The document processing engine better detects and preserves table structure during OCR, including text inside table cells. This helps AI use the right row and column context when answering questions about table-heavy documents.
What Do I Need to Do?
This enhancement is automatically available for all new document uploads.
Existing documents aren’t updated automatically. If an existing document needs the improved table-processing behavior, contact Workday Support so the team can evaluate whether reprocessing is available.
