Contract Management Globalization and Multilingual AI Support

Workday Contract Intelligence (CI) and Contract Lifecycle Management (CLM) are now available in multiple languages and support multilingual AI document understanding and data extraction.
Business Benefits
This update improves the user experience for non-English speaking users by allowing them to use Contract Management in their preferred language and locale. It also enables globally distributed teams to collaborate effectively while meeting regional formatting and regulatory requirements.
Changes
UI Localization
  • We translate the Workday CI and CLM interfaces and some system-generated emails into French, German, and Spanish.
  • We add a new
    Global Preferences
    section to the user
    Settings
page so that users can set their language preferences individually.
  • Considerations:
    • Some system-generated emails such as user account activation & password reset, and workflow notifications are not yet translated.
    • You can configure Custom AI data field names and set them to any single language of your choice.
    • To facilitate translations into other languages, you can't edit Standard AI fields and field section names.
Numerical Data Fields
  • Fields for date, number, and monetary values now format dynamically based on the selected
    Preferred Locale
    . Example:
    • Date fields: Displays as
      Month/Day/Year
      for US English and
Day/Month/Year for French or UK English locales.
    • Number fields: Displays as 1,234.56 for English and 1 234,56 for French.
  • Considerations:
    • Numerical field input, when editing values, is not yet localized and requires the system default English format.
Multilingual Support for AI
  • We update these
    Standard AI fields
    to support multilingual extraction:
    • Counterparties
    • Effective Date
    • Initial Expiration Date
    • Initial Term
    • Internal Parties
    • Number of Renewals
    • Renewal Notice Date
    • Renewal Notice Period (Days)
    • Renewal Term
    • Renewal Type (Automatic, Option to Renew, Manual)
    • Start Date
    • Title
    • Upcoming Expiration Date
  • We now update these
    Standard AI clauses
to support extraction in French, German, and Spanish:
    • Assignment
    • Change of Control
    • Force Majeure
    • Governing Law
    • Indemnification
    • Jurisdiction and Venue
    • Term
    • Termination for Breach
    • Termination for Convenience
  • We update the
    Custom AI
models to support field naming, instructions, and outputs in French, German, and Spanish.
  • Considerations:
    • Multilingual AI support is available by default to customers hosted in the European data center, followed by rollout in other regions. Customers not hosted in the European data center can contact their Customer Success Manager to request early access.
    • Multilingual AI support applies to new documents only. For existing documents, you can contact Customer Support to request a reprocessing.
    • Standard AI outputs only English values for:
      • Initial Term
      • Renewal Type
      • Renewal Term
      • Number of Renewals (if indefinite)
Example: Example: Standard AI correctly identifies & highlights the Renewal Term from a Spanish contract as
      seis (6) meses
but the field value is recorded as
      6 month(s)
      , rather than
      (6) meses
      .
Ask AI
  • Ask AI now supports real-time conversational interactions in multiple languages.
  • Users can ask questions in one language about a contract written in another and receive an answer in their chosen query language.
AI Drafting Tools
  • Automated redlining and clause creation are now available in multiple languages, subject to the capabilities of the underlying LLM.
  • Considerations:
    • Clause Creator currently requires the document text and instructions to be in the same language for best results. If they are different, the output matches the instruction language.
What's Coming Next
Workday will progressively add support for more languages and expand the list of fields and clauses that support multilingual extraction.

Update Terminology from Provision to Clauses

With this release, Contract Management and Document Intelligence updates the user interface to replace the term Provision with Clauses in several areas of the product.
Business Benefits
This change ensures consistent terminology across the platform, impacting the
Document Viewer
,
Analyzer
, and various system-generated error messages and warnings.
Changes
We have updated several UI elements to reflect the new naming convention:
  • Tabs
    : In the
    Document Viewer,
    the
    Key Provisions
tab is now renamed to the
    Key Clauses
    tab.
  • Filters
    : In
    Analyzer
    , the
    Provision
filter is now renamed to the
    Clause
    filter.
  • System Messages:
Various error messages and warnings that previously referenced
    provisions
now use clauses to maintain consistency with the updated UI.
