Set Up Workflow Routing

  • You must ensure
    Ask AI
    is enabled for your workspace.
  • Security: You must have
    Workflow Builder: Manage
    role.
Workflow Routing is an intelligent routing engine that helps users identify the correct contract intake forms through a conversational interface. By defining routing rules, you can prevent rework caused by users submitting requests through incorrect forms.
  1. Click
    Automation
    .
  2. Open the
    Routing Table
    subtab.
  3. Click
    Create New Route
    and select a workflow from the
    Route Name
    menu. The prompt displays only workflows that are published and don’t have routing rules already configured.
    The
    Route Status
    toggle is enabled by default. Disabling it prevents the workflow from being suggested as a result for end-users.
  4. In the
    Route Instructions
    field, enter natural language descriptions that help the AI distinguish when a specific workflow should be selected.
    • Try to define when the workflow should be selected. Example:
      Use this route when a user wants to request a hardware upgrade or replace a broken laptop
      .
    • Differentiate from similar tasks. Example:
      Only use this for internal staff; for external contractors, use the ‘Vendor Access’ route instead
      .
    • Use natural language and avoid technical jargon that a user might not use when asking for help.
    Examples:
    Route Name
    : MSA - LATAM (Local language).
    Route Instructions

    Use this for entities in South or Central America where a Spanish or Portuguese translation is required. Avoid this if the vendor is a US-based company with a small satellite office in LATAM.

    : NDA - Mutual.

    Use this when both parties will be sharing confidential information. This is our default for partnership discussions. Avoid this if only one side is disclosing data, as it adds unnecessary obligations for us.

    Use this when we are ending a relationship early and need to settle final payments. Do not use if the contract is simply expiring on its own; use this only for active break-ups.

    Use this when we are paying a partner a commission for sending us new customers. Do not confuse this with a Reseller Agreement where the partner actually sells the product on their own paper.
  5. Click
    Create
    .
  6. Access the
    General Routing
    subtab to configure a welcome message that appears in the Ask AI interface, or a fallback response for unmatched queries.
  7. Click
    Test Routing
    to test the routing logic before enabling it for the end-users.
  8. Enable the
    Activate Routing for All Users
    toggle to launch the workflow routing in Ask AI and make it available for end-users.
Ask AI uses your instructions to guide users to the specified workflow. See Access Workflows with Ask AI
