Steps: Mass Drop Invalid Registrations

Configure the
Pre-Requisite Failure Mass Drop Registrations Event
business process and security policy.
When students no longer meet the requirements of the courses for which they’re registered, you can easily identify and drop them from those courses.
Example: MATH 101 is a prerequisite for MATH 201. Students currently enrolled in MATH 101 can register for MATH 201, which is offered in the next academic period. If they don’t complete MATH 101 in the current academic period, they’re no longer eligible for MATH 201 and must be dropped.
  1. Access the
    Run Post-Grading Jobs
    task.
    Select
    Check for Invalid Registrations
    and specify an
    Academic Unit
    and
    Academic Level
    for Workday to check.
    When you run this task, Workday checks academic records from the selected academic unit and level configuration for incomplete courses. Then, Workday checks those same academic records for upcoming course registrations that use the incomplete courses as prerequisites. Workday marks those course registrations as invalid.
    When identifying invalid registrations, Workday excludes course registrations created using eligibility rule overrides. You need to manually remove those course registrations if they're invalid.
    We recommend you use this task after final grades have been submitted for the current academic period.
    Security:
    Manage: Academic Records
    domain in the Student Records functional area.
  2. Access the
    Mass Drop Invalid Student Registrations
    task.
    Select an
    Academic Period
    that contains invalid course registrations. To drop invalid registrations for a nonstandard period, select the standard period that it rolls up to.
    This task doesn't include students in reserved capacity seats, even when they're no longer eligible for those seats. You need to manually remove those invalid registrations.
MATH 101 is a prerequisite for MATH 201. Students enrolled in MATH 101 during the fall semester can also register for MATH 201 for the upcoming spring semester. When the fall semester ends and final grades have been assigned, you access the:
  • Run Post-Grading Jobs
    task.
  • Mass Drop Invalid Student Registrations
    task and select the spring semester.
Workday drops all students who didn't complete MATH 101 during the fall semester from MATH 201 for the spring semester.
