Set Up Program Completion Application Policies

Set Up Program Completion Application Policies

Workday enables students to declare their intent to graduate by applying for program completion. You can configure program completion application policies that determine who is eligible to apply for program completion, when they can apply, and what information to collect on their application.
When you don't configure a policy, students don't have to apply for program completion, but you can still confer program completions.
  1. Access the
    Maintain Program Completion Application Policy
    task.
  2. Select an
    Academic Unit/Academic Level
    or
    Program of Study
    .
When you select an academic unit and level, all subordinate academic units and programs of study inherit the policy.
  3. Select an
    Existing
    definition or enter an
    Effective Date
to create a new snapshot of the policy.
  4. To configure the details of the policy, select the
    Application Available
    check box.
When you don't select the check box, the policy has the same effects as a policy with the check box selected and no other details configured.
Workday doesn't prevent access to program completion application tasks when you clear this check box. To disable program completion applications, prevent access to the initiating actions on the
    Apply for Program Completion Event
    business process security policy.
  5. Configure the details of the policy.
As you complete the task, consider:
    Option Description
    Class Standing Required
(Optional) Select the class standings students must have to apply for program completion. Requiring a class standing enables you to filter the student population that applies and better manage the completion workflow.
When you select multiple class standings, students with any of the selected class standings can apply for program completion.
When you don't make a selection, students with any class standing can apply for program completion.
Students must meet both the class standing requirement and any unit requirement eligibility rules.
    Unit Requirement Eligibility Rule
(Optional) Select an eligibility rule that determines the number of units the student must complete to be eligible to apply for program completion.
When you don't make a selection, students with any number of units completed can apply for program completion.
Students must meet both this rule and any class standing requirements.
Allow Students to Select Different Name Type for Diploma
(Optional) Select to enable students to choose how their name displays on their diploma.
When you don't select this check box, Workday uses legal names.
    Name Types Available
    Additional Name Types Available
(Optional) Select the name types that are available for students to choose from.
    Workday delivers name types of
    Legal
    and
    Preferred
. When you configure both for the policy, Workday automatically populates preferred names on applications. When a student doesn’t have a preferred name, Workday automatically populates their legal name.
Additional name types are the custom values that you can configure on the
    Maintain Name Types
    task.
When you don't make a selection, Workday uses legal names.
    Academic Periods Available for Application
(Optional) Specify the number of academic periods in which students can apply for program completion. This field works in conjunction with the Program Completion Application Deadline date control to enable you to define when students can apply for completion.
Example: In Fall 2024, a student applies for program completion. Their admin made 3 academic periods available for application. The last day to apply is October 15. If the student applies:
    • Before or on October 15, they can apply for completion in Fall 2024, Spring 2025, or Summer 2025.
    • After October 15, they can apply for completion in Spring 2025, Summer 2025, or Fall 2025.
When this number is zero, students can only apply for program completion in the current academic period.
    Allow Commencement RSVP
Select to enable students to RSVP for Commencement on their program completion application. This data is for reporting purposes only.
