Concept: Registration-Based Fees

You can use these options to add additional configurable components in your registration-based fees tasks.

Assess Each Registration Independently

You can use this functionality when you have funding requirements that limit the number of units, courses, or both that a student can take at a subsidized rate. Once the student reaches these limits, those specific courses incur a higher charge. To access this option, first select the
Assess Each Registration Independently
check box on the
Maintain Institutional Student Financial Options
task.
Your university can also have funding requirements to create reporting that includes both:
  • The registered courses for students.
  • The tuition rate for the number of units per course.
With a focused funding requirement, there can be funding exceptions to account for, such as limitations on:
  • Formula Funding for Excess Hours
  • Formula Funding for Repeated Hours for Attempted Courses
  • Formula Funding for Remedial and Developmental Courses
  • High School Dual Enrollment (Situational)
Workday delivers report fields specifically for this functionality on both the Financial Aid Period Record (FAPR) and Student Financials Period Record (SFPR) business objects. These fields are the only valid report fields to use when you also select the
Assess Each Registrations Independently
check box.
The
Total Registered Unit
report field isn't a valid report field for the Assess Each Registration Independently functionality.
You can't use the
Assess Each Registration Independently
check box with the Eligibility Criteria functionality.

Eligibility Criteria

As a student financial manager, you can select the course section definition to use as an optional eligibility criterion in a registration-based fee.
When you need more flexibility in managing your registration-based fee configuration, you can use the
Eligibility Criteria
field on the registration-based fee tasks and reports. This functionality enables you to create calculations from the Course Section Definition business object to include units from registrations that meet the criteria of the calculation.
Your calculations to target eligibility criteria must:
  • Reference the Course Section Definition business object and have an
    Authorized Usage
    of
    Calculation Engine
    .
  • Be an instance set comparison or logic calculation types.
While you can’t use the
Evaluate Student Calculation
task with registration-based fees, you can use it to test the Eligibility Criteria calculation and make sure it’s filtering correctly before assessing the fees.
You can't use the Eligibility Criteria functionality when you've selected the
Assess Each Registration Independently
check box.

Prebilling

You can create a prebilling tier on your registration-based fee tasks by entering 0 as the maximum unit. This prebilling enables you:
  • As a bursar, to bill an expected tuition prior to registering for courses at an institution with only full-time students. This functionality enables you to coordinate payment plans and invoicing of sponsor contracts prior to registration.
  • As a student, to see an expected tuition prior to registering for courses, which helps with creating a payment plan.
Once a student registers for their first course, Workday adjusts the prebilling charge. When a student doesn't register by the academic period start date, Workday adjusts the prebilling charge to $0.
Workday uses the Charge Assessment Schedule as the start date and the academic period start date as the end date. You can configure an earlier end date for prebilling in the
Prebilling End Date
field on the
Academic Period Date Control
task.
