Maintain Student Documents

  • Create categories for student documents from the
    Maintain Document Categories
    task.
  • Create types for document categories from the
    Maintain Student Document Types
    task.
  • Make sure that the
    Configure Profile Group Personal for Student
    report includes 2
    Documents
    items in the
    Report
    column.
  • Security: Domains in the Student Core functional area:
    • Manage: Add Student Documents
    • Manage: Delete Student Documents
    • Manage: Edit Student Documents
    • Self-Service: Add Student Documents
    • Self-Service: Delete Student Documents
    • Self-Service: Edit Student Documents
You can manage student documents from the
Maintain Student Documents
report. You can also access the
Student Documents
report on the
Documents
profile group of the student profile.
You can add, delete, or edit student documents only if you have security access to the:
  • Academic Unit/Academic Level of the Document Type.
  • Document Category.
  • Applicable domains.
Students can manage their documents from the
Maintain My Student Documents
report. They can also view documents on the
Documents
report on the
Personal
profile group of the student profile.
Students can view their own:
  • Accommodations documents added through the business process.
  • Residency documents added through the business process.
  • Residency questionnaire documents.
  • Application documents.
  • Reviewed documents during
    Student Onboarding
    ,
    Continuing Student Registration Onboarding
    , and
    Payment Election Enrollment
    business processes
  • Person documents uploaded during personal information change related business processes.
  • Completed Action Items for:
    • Financial Aid records.
    • Student Aid Verification Event.
    • Student Application.
    • Student Onboarding Event business process.
  1. Access the
    Maintain Student Documents
    report.
  2. Add, delete, or edit documents.
    • You can't delete or edit documents attached through business process events.
    • You can only add ad hoc documents that are directly attached to the student profile.
    • Members of the segment-based security groups can only maintain the documents in the specified categories. They can't delete or edit documents if they don't have the security access on the applicable domains.
