Create External Student Sites

domain in the Academic Foundation functional area.
The student external site is where prospects can view information for recruiting events and fill out their admissions application. You can control the overall appearance of the student site and provide personalized branding content, giving related home pages a consistent look and feel.
  1. Access the
    Create External Student Site
    task.
  2. As you complete the task, consider:
    Option Description
    Embed Mode
    Select the check box if you want to display the external student site within another website. Workday hides the banner, logo, header name, and header color.
    Downtime Service URL
    Enter a URL for a page that external users see during the weekly maintenance service window in this format:
    • https://...
    Quarterly and monthly Workday maintenance services could affect the
    Downtime Service URL
    . You can only test the
    Downtime Service URL
    during the Workday maintenance service window.

    If you don't configure a URL, external users will see the standard Workday downtime page. Additionally, if users attempt to access Workday from a bookmarked URL with
    authgwy
    in the web address during the maintenance service window, they see the standard Workday downtime page.
    EU Cookie Policy Message
    This message informs users of the cookie policy and how it affects their data storage. Compose and configure this message in the rich text field.
  3. As you complete the
    Branding
    section, consider:
    1. Enter a
      Header Title
      to display across the banner image.
    2. Select whether to use
      Simple Brand Settings
      or
      Custom Brand Settings
      .
      Simple brand settings enable you to use your logo, banner, and select colors for the header. Custom brand settings give you additional control over more granular details, such as the shapes and colors of primary and secondary buttons.
    If you selected

    , consider:
    Option Description
    Site Logo
    Upload your site logo in any of these formats: JPEG, GIF, PNG, BMP, SVG. For best results, we recommend using a logo that is at least 56 pixels high.
    Banner Image
    Upload your institution banner in either PNG or JPG format. For best results, we recommend 1100 x 120 pixels. If you use a banner that is smaller than the recommended size, Workday stretches it to fit the space and the
    Header Color
    might display.
    Header Color
    Enter the HTML color code for the background of your student site banner.
    Header Font Color
    Enter the HTML color code for the
    Header Name
    font.
    If you selected
    Custom Brand Settings
    , consider:
    Option Description
    Brand
    Select or create a custom brand configuration.
    Homepage URL
    Enter the URL that best represents home for the applicant experience.
    Example: Link to the external site home page or the home page of your institution.
    Home Link Text
    Enter link text to display for the homepage URL.
  4. As you complete the
    Landing Page
    section, consider:
    Option Description
    Content
    Enter text to display to users who aren't logged in. This text also displays to users who are logged in if you don't configure a welcome message.
    Welcome Message
    Enter text to display to users who are logged in.
  5. In the
    Follow Us
    section, select the types of social networks prospects can use to follow your institution.
  6. As you complete the
    Terms and Conditions
    section, consider:

    Terms and Privacy
    This text displays when:
    • Prospects register for events.
    • Applicants upload documents.
    • Applicants accept an offer of admission.
    Workday doesn't display any text when you leave this field blank.
    Accept Terms and Conditions
    This text displays along with a required check box when:
    • Prospects register for events.
    • Applicants upload documents.
    • Applicants accept an offer of admission.
    Workday doesn't display any text or the required check box when you leave this field blank.
  7. As you complete the
    Engagement Preferences
    section, consider:
    Option Description
    Display Engagement Preferences
    Select to display additional fields for prospects to select from. Prospects must select an engagement preference when registering for events in order to opt out of marketing emails. They can also unsubscribe by using a link at the bottom of every email.
    Opt In Engagement Message
    Enter text to display on event registration for prospects to indicate that they want to receive both transactional and nontransactional emails.
    Opt Out Engagement Message
    Enter text to display on event registration for prospects to indicate that they don't want to receive nontransactional emails.
  8. Access the external site by clicking the link on the confirmation page.
