Create Educational Institutions

Create Educational Institutions

  • Define any educational institution districts or designations associated with educational institutions.
  • Security:
    Manage: Educational Institution
    domain in the Academic Foundation functional area.
You can create profiles for secondary and postsecondary schools to store information about each institution, such as contact names and accreditation history.
You can use educational institutions to:
  • Support recruiting activities, such as defining student recruiting regions and creating student recruiting events.
  • Associate with student prospects for their previous education, or specify a student's intended institution.
You can use the
Put Student Educational Institution
web service to load and update educational institution information.
Workday also creates educational institutions when you use the
Put External Student Transcript
web service to import external transcripts from new educational institutions. To prevent Workday from creating new educational institutions, set the
Do Not Create Educational Institution
option on the web service to
True
.
  1. Access the
    Create Educational Institution
    task.
  2. Complete the task:
    Option Description
    Category
    Level
    Type
    Religious Orientation
    Designations
    Workday uses these optional fields as search facets in the
    Find Educational Institution
    report, enabling you to filter the institutions.
    Grading Schemes
    You can:
    • Select from Workday-delivered grading schemes that correspond to the codes in the Transcript Implementation Guide (TS 130) from Postsecondary Electronics Standards Council (PESC) Electronic Data Interchange (EDI).
    • Select from or create custom grading schemes.
    • View the grades and corresponding grade point values from the related actions preview of any code in the prompt.
    When you add external transcripts from this educational institution, you can record grades from these grading schemes.
  3. (Optional) On the
    Contact Information
    tab, enter the applicable information for the institution.
    To display the primary contact information at the top of the educational institution profile, select the:
    • Public
      check box.
    • Primary Academic Contact
      check box, when there are multiple contacts.
  4. On the
    ID Schemes
    tab, enter at least 1 identifier for the institution.
  5. (Optional) As complete the
    Accreditation History
    tab, consider:
    Option Description
    Last Updated
    The date the Department of Education created the file.
    Start Date
    The date the institution first received the accreditation.
    End Date
    The date that the accreditation ended.
    Leave this field blank when the accreditation is still valid.
  6. (Optional) On the
    Other Names
    tab, add former and unofficial names for the educational institution.
  7. Click
    OK
    .
  8. (Optional) Access the
    Representatives
    tab on the Contact Information profile group of the educational institution profile.
    Click
    Add
    to enter names and contact details for individuals at the institution.
    When the institution hosts recruiting events, you can select these representatives as host contacts.
You can view educational institutions on the
Find Educational Institutions
report.
Admissions counselors and administrators can use a mobile device to view the educational institution profile and the associated student prospects.
  • Create Educational Institution Courses. From the educational institution profile, add educational institution courses on the
    Course Catalog
    tab.
  • To edit the educational institution, select
    Educational Institution
    Edit
    from the related actions menu of the educational institution.
  • To delete an educational institution, access the
    Delete Educational Institution
    task.
