Steps: Set Up Mass Operations for Application Processing

Configure these business processes and security policies in the Admissions functional area:
  • Mass Student Application Decision Update Event.
  • Publish Application Grouping Event.
    To prevent the mass operation from publishing erroneous admissions decisions, Workday strongly recommends that you configure a Publish Application Grouping Decisions action step for the business process. This step gives you a chance to verify that the decisions are accurate before publishing them.
You can use a mass operation to render or finalize decisions for specific groups of student applications. Custom reports enable you to define the applications to process, such as applications with an SAT score above 1400.
You can:
  • Schedule the mass operation to run on a regular basis to process applications as they become eligible.
  • Run the mass operation as needed whenever you're ready to render or finalize decisions.
  1. As you complete the task, consider:
    Option Description
    Security Groups
    Select the security groups that can access the
    Mass Operation Management
     task to render or finalize decisions.
    Access to Segments
    Select the relevant segment:
    • Render Decisions for Student Applications
    • Finalize Decisions for Student Applications
  2. Edit Domain Security Policies.
    Give the newly created segment-based security group permissions to the
    Mass Operation Management
     domain in the System functional area.
  3. Activate Pending Security Policy Changes.
  4. Create Custom Reports.
    Create a custom report that defines the applications for which to render or finalize decisions.
    As you complete the task, consider:
    Option Description
    Report Type
    Select

    Clear this check box.
    Data Source
    Select
    Student Applications
    .
    Filter
    On the
    Filter
     tab, add a filter to ensure that applications are ready to have their decision rendered or finalized.
    1. Select the relevant field:
      • Eligible to Render Decision
      • Eligible to Finalize Decision
    2. Select the
      equal to
       operator.
    3. Select the
      Comparison Value
       check box.
    An application is eligible to render a decision for when these conditions are true:
    • The application is active.
    • The application doesn't have a decision hold.
    • You haven't already started rendering a decision for it.
    An application is eligible to finalize a decision for when these conditions are true:
    • You've rendered a decision but haven't made it publicly available yet.
    • You haven't already started finalizing a decision for it.
  5. As you complete the task, consider:
    Option Description
    Mass Operation Type
    Select the relevant mass operation type:
    • Render Decisions for Student Applications
    • Finalize Decisions for Student Applications
    Input Report
    Select the custom report that defines the applications for which to render or finalize decisions.
    Decision
    Decision Reason
    If you're rendering decisions, select the decision for the applications and the reason for the decision. Ensure that you select a decision reason that is valid for the applications that the custom report captures.
    Set Decisions to Publicly Available
    If you're finalizing decisions, the
    Set Decisions to Publicly Available
     option enables you to bypass the Publish Application Grouping Decisions step of the
    Publish Application Grouping
     business process and make admissions decisions publicly available immediately to applicants on the input report.
    To select
    Set Decisions to Publicly Available
    , you must have Modify access to the
    Manage: Admissions Decisions Publication
     domain.
When the mass operation runs, Workday advances the relevant business process:
  • Mass Student Application Decision Update Event
  • Publish Application Grouping Event
You can view the completion status of the mass operation in your notifications. When the mass operation completes, Workday sets the decision status of the applications to:
  • Confidential - For Internal Use Only
    , when you render decisions.
  • Publicly Available
    , when you finalize decisions and select
    Set Decisions to Publicly Available
    .
