Mass Update In-Progress Applications

Workday enables you to update certain details for admissions applications after applicants submit them and before you render decisions for them. You might need to mass update applications when:
  • A counselor goes on leave and you need to reassign the applications in their application pool.
  • You create a new academic policy and you need to apply it to existing applications.
  • A program of study is full and you need to move the remaining applications to a different program of study.
You can update the primary program of study, program focus, academic period, or campus location for admissions applications that:
  • Are active.
  • Are for non-Fast Path programs of study. You can update applications for a non-Fast Path program of study to a Fast Path program of study, but be aware that this immediately matriculates the applicant. You can't update applications for a Fast Path program of study.
  • Don't have a rendered decision.
  • Are in a fixed-term application grouping.
When you update applications, Workday restarts any evaluations associated with the updated applications, including completed evaluations. For applications with completed evaluations, consider updating application details while rendering decisions instead of using this task.
This topic describes how to mass update applications. To update a single application, select
Student Application
Update In-Progress Application
from the related actions menu of the application.
  1. Access the
    Find Student Applications
    report.
  2. Select the applications to update and click
    Update In-Progress
    .
    All selected applications must have the same applicant type, primary program of study, and anticipated start. They must also not have a rendered decision. Consider using these facets to refine your search:
    • Applicant Type
    • Application Academic Period
    • Application Decision Status (select
      No Decision Rendered
      )
    • Application Primary Program of Study
  3. Select the new
    Primary Program of Study
    and
    Academic Period
    .
    You can select from programs of study that have the same admitting academic unit as the original programs of study. An application grouping must exist for the selected primary program of study and academic period.
  4. Click
    OK
    to proceed to the next page and change the program focus or campus location.
  5. Select an option for the
    Program Focus
    and the
    Campus Location
    .
    The program focus and campus location options are available based on the policies and configurations that apply to the primary program of study and academic period.
    Example: If the applications have a program focus that is no longer effective as of the new academic period, you can’t retain the original program focus. You must select a new program focus or clear the program focus for all applications.
