Update SAP Measure Details

domain in the Financial Aid functional area.
Workday automatically calculates satisfactory academic progress (SAP) for students based on the SAP policy that you configure for their academic unit, academic level, or program of study. To calculate SAP statuses, Workday evaluates these measures:
  • Qualitative GPA
  • Qualitative Pace
  • Maximum Timeframe
To ensure that Workday calculates the correct SAP status for students, you can manually add information from outside of Workday. Example: Override SAP measure details when:
  • Your institution uses a third-party financial aid system to calculate SAP.
  • Students have legacy data and registrations that are incorrectly or not counting toward their SAP.
  1. Access the
    Attendance Plan
    report on the Financial Aid profile group of the student profile.
  2. Select
    Financial Aid Period Record
    Edit Satisfactory Academic Progress
    from the related actions menu of the magnifying glass of an academic period.
    For legacy data conversions, Workday recommends you select the financial aid period record from just before the student began using Workday. Workday uses the overridden financial aid period record as the starting point for SAP calculations.
    As you complete the task, consider:

    Override SAP Status
    When you select this check box, Workday displays the
    Financial Aid SAP Status (Overridden)
    prompt.
    Financial Aid SAP Status (Overridden)
    Select a new status to override the Workday-calculated SAP status.
    Changing a student's SAP status to:
    • Failed
      could impact the student's financial aid eligibility, depending on disbursement eligibility conditions.
    • Undetermined
      clears previously overridden statuses and sets the Workday-defined status to
      Undetermined
      . When the Workday-defined status is already
      Undetermined
      , Workday doesn't save your changes.
    Override Cumulative SAP Measure Details
    Select to specify new values for calculating the student's SAP status. When you override SAP measure details, specify all of the override fields. Workday uses the new field values to update the
    Financial Aid Satisfactory Academic Progress Status (Workday Defined)
    field the next time you run an SAP evaluation.
    Cumulative Earned Grade Points (Overridden)
    Specify the cumulative number of earned grade points.
    Workday calculates this value by multiplying the student's grade points by the number of course units.
    Cumulative Pace Attempted Units (Overridden)
    Specify the cumulative number of all pace attempted units.
    Cumulative Max Timeframe Attempted Units (Overridden)
    Specify the cumulative number of all max timeframe attempted units.
    Cumulative Pace Completed Units (Overridden)
    Specify the cumulative number of all completed units that count towards a student's
    Pace
    .
    Cumulative GPA Completed Units (Overridden)
    Specify the cumulative number of all completed units that count towards a student's
    GPA
    .
Workday uses the updated measures in SAP evaluations going forward. If you ungrade courses used in SAP calculations, you can't override assessment values until you regrade the courses.
