Steps: Initiate and Review SAP Appeals

Configure the
Satisfactory Academic Progress Appeal Event
 business process and security policy in the Financial Aid functional area.
Students must maintain a minimum satisfactory academic progress (SAP) status to receive financial aid each academic period. Workday enables you to configure a process for students to appeal
Failed
 SAP statuses and continue receiving financial aid for the next academic period.
  1. Edit Business Processes.
    On the
    Satisfactory Academic Progress Appeal Event
     business process, select:
    1. Configure Questionnaire
       on the
      Complete Questionnaire
       step, and select the questionnaire you want students to complete as part of the appeal process.
    2. Business Process
      Configure Supporting Information
       from the related actions menu of the
      Action
       step after the
      Complete Questionnaire
       step. This configuration enables business process approvers and reviewers to view questionnaire responses.
  2. Example: You can create a notification to send to a student after their SAP appeal is approved.
  3. Access the
    Initiate SAP Appeal for Students with Failed Status
     task.
    Select the students to receive the questionnaire so they can appeal their SAP status.
  4. Access the
    Review Satisfactory Academic Progress Appeals
     item in My Tasks
    .
    This My Tasks item displays the student responses to the questionnaire you configured in the business process.
  5. (Optional) Workday recommends you select the
    Place Student on Academic Plan?
     check box to set up temporary measures that enable the student to meet SAP over more than 1 academic period.
    As you complete the
    Student-Specific Appeal Measures
     grid, consider:
    Option Description
    GPA
    Enter the minimum GPA that the student must meet. The GPA isn't cumulative and only applies to the next academic period.
    Pace
    Enter the percentage of courses the student must pass. This percentage is only for the next academic period, not all courses in aggregate.
    Maximum Timeframe
    Enter a percentage of time for the student to satisfy SAP requirements.
    Example: Enter
    200
     to give students twice as much time to complete their coursework.
When you approve SAP appeals, students continue to receive financial aid for the next academic period, and their SAP status changes to
Probation
. If their SAP evaluation frequency is Financial Aid Award Year (FAAY), Workday switches them to Academic Period frequency for the future until they receive a
Passed
 status.
At the end of that academic period, students who earn an SAP status of:
  • Passed
     receive financial aid for the next academic period. If the SAP evaluation frequency on their SAP policy was FAAY, Workday switches them back to the FAAY frequency.
  • Failed
     don't receive financial aid for the next academic period. You can decide whether or not to reinitiate the appeal process.
  • Failed
    , but satisfy the temporary measures, receive financial aid and an SAP status of
    Probation
    . Their SAP evaluation frequency continues to remain Academic Period, even if the frequency was previously FAAY on their SAP policy.
A student fails all of their Fall 2019 classes and receives a
Failed
 SAP status. You know that the student had difficult circumstances that probably resulted in their poor performance. In this situation, you can enable them to appeal their SAP status.
When you approve the student's appeal and set additional temporary measures, Workday updates their status to
Probation
. When their status changes from
Failed
 to
Probation
, the student continues to receive financial aid for Spring 2020.
At the end of Spring 2020, the student doesn't meet SAP requirements, but they satisfy the temporary measures. Their SAP status remains
Probation
, and they can continue to receive financial aid. Also, Workday continues to evaluate SAP at the Academic Period frequency.
Without temporary measures, the student doesn't receive financial aid for Fall 2020.
