Date of Determination
A student's date of determination is the date when your institution became aware that a student withdrew from your institution. You must complete Return of Title IV processing within 30 days from the date of determination to ensure an accurate return deadline for Title IV funds.
You can specify a student's date of determination using the:
- Request Withdrawal for Studenttask from the related actions menu of their academic record.
- Percentage Earnedtab on the student's Return of Title IV worksheet.
When your institution-determined date differs from the student-provided withdrawal date – particularly with an unofficial withdrawal – it’s important to specify the date of determination to be compliant in ensuring an accurate return deadline for Title IV funds.
Example: A student stops attending classes on 10/1/2024 (the unofficial withdrawal date), but your institution didn't become aware of it until 10/15/2024 (the date of determination). Therefore, you change the
Date of Determination
field to 10/15/2024 to ensure an accurate return deadline of 11/15/2024.The date of determination depends on the type of withdrawal:
Withdrawal Type | Description |

Official | Occurs when a student notifies your institution about their departure. In this case, the date of determination is the date when the student began the withdrawal process or the date when the student notified your institution about their withdrawal (whichever's later).
In Workday, official withdrawals occur when a student or administrator submits the withdrawal as part of the Student Institutional Withdrawal Event business process. |
Unofficial | Occurs when a student fails to notify your institution about their departure. In this case, the date of determination is the date when you learned that the student ceased attendance. If it's unclear when the student stopped attending class, the withdrawal date defaults to the midpoint of the academic period.
