Concept: Job Schedules
Job Schedule Overview
Job schedules support initial financial aid processing by enabling you to indicate when and for which populations these jobs in the Student Nightly Job Orchestration should process for an academic period:
- ISIR Action Item Evaluation
- Cost of Attendance (COA)
- Merit Packaging
- Need Packaging
- Packaging Communication
You can create job schedules that specify:
- Timeframes to evaluate for processable records. Example: During the Student Nightly Job Orchestration, evaluate students' COA for the Fall 2023 and Spring 2024 academic periods starting on 11/02/2022 and ending on 12/31/2024.
- Student criteria to evaluate for processable records. Example: Only process records for academic periods where the student isEntering, or only process records for students with aFreshmanclass standing.
Job Schedules and the Student Nightly Job Orchestration
When the Student Nightly Job Orchestration runs, Workday:
- Searches for any active job schedules.
- Uses the criteria you configured in the job schedule to identify processable records.
- Processes records for the associated job and assigns initial instances to students based on your configured calculations and condition rules. Example: A student meets the condition rules configured on the Merit Packaging job to qualify for a President's Scholarship, so Workday awards it to them in their financial aid package.
Depending on the condition rules and calculations you configure on a job, Workday might process a student through a job but not assign an amount or any items. Even though no amounts or items are assigned to the student, Workday still creates initial instances for them to indicate that they’ve been processed through the job. Once initial instances are created, Workday doesn’t process the student for the academic period through the job schedule again. Instead, Workday uses your reaction policies to continually adjust the student’s financial aid.
Impact of Run Student Financial Aid Processes by Period
You can run these jobs manually by accessing the
Run Student Financial Aid Processes by Period
report:
- Cost of Attendance
- Merit Packaging
- Need Packaging
If Workday hasn't assigned the student an initial COA, merit package, or need package through job schedules, manually running these jobs for a student triggers Workday to process their record and assign them initial amounts and items.
Example: A student doesn’t have a COA for Fall 2023. Running the student through the

job on the Run Student Financial Aid Processes by Period
report creates an initial COA for them for Fall 2023. Since Workday already created an initial COA for the student for the academic period, job schedules won’t identify their record for processing anymore. Instead, you must use reactions to monitor changes and reprocess their record as needed.
