Steps: Configure Opt-Out of Financial Aid Electronic Communications
Workday enables you to opt out from receiving financial aid electronic communications
on behalf of students.
Unless you configure opting out, students in Workday automatically receive
financial aid communications electronically when they enroll. Federal regulations
state that the student must explicitly indicate their preference if they no longer
want to receive these types of communications electronically.
- Edit Domain Security Policies.Configure security for theManage: Student Financial Aid Electronic Communications Preferencesdomain in the Financial Aid functional area.
- Activate Pending Security Policy Changes.
- (Optional) Access theEdit Custom Report Task.You can edit the custom reports for the student audience you use for engagement plans. Add theOpted Out of Financial Aid Electronic Communicationsreport field as a filter for the student audience. The filter enables you to view the students who haven't opted out of financial aid electronic communications.Security:Manage: All Custom Reportsdomain in the System functional area.
- (Optional) Access theCreate Student Condition Ruletask.Create a condition rule that prevents students who have opted out from receiving communications. SelectStudentfrom theBusiness Objectprompt. - Access theCreate Calculated Fieldtask.Create a calculated field to block financial aid communications from business process notifications. - (Optional) Set Up Request Types.Create a financial aid opt-out request that students can initiate.
The Financial Aid administrator can:
- Access theUpdate Student Financial Aid Electronic Communications Preferencestask from theFinancial Aidrelated actions menu of the student profile.
- Use theAdd Financial Aid Notefield to record the student's preference. You can view the note in theStudent Historyreport on the student profile.
- View the students who haven't opted out by using theOpted Out of Financial Aid Electronic Communicationsreport field.
- Update student financial aid electronic communications preferences from theFinancial Aidrelated actions menu of the student profile.
