Maintain Student Award Amount Preservation Rules

domain in the Financial Aid functional area.
You can configure award amount preservation rules for student award items to prevent automated packaging jobs from reducing or adjusting award amounts after a specified date.
When you edit a preservation rule, no changes occur to award items using the rule, but future packaging jobs will use the latest effective rule. You can preserve any award amount, including zero. You can’t preserve blank award amounts.
  1. Access the
    Maintain Time-Based Student Award Amount Preservation Rules
    task.
  2. Select your
    Institution
    .
  3. Add a row to the
    Award Preservation Rules
    grid.
  4. Enter a
    Name
    for your rule.
    To provide greater reporting insights, we recommend naming each rule based on the date control and the type of preservation you plan to use the rule for. Examples:
    • 5 Days After AEUSD for Reduction
    • 5 Days After AEUSD for All Adjustments
  5. Select a
    Date Control
    .
    Award amount preservation rules trigger at 00:00:00 on the date control date.
  6. (Optional) To make a rule trigger before or after your selected date control, select an
    Offset Type
    and enter a number of
    Offset Days
    .
You can select your configured rules on student award items to prevent reduction or all adjustments to award amounts.
When multiple preservations trigger, Workday enforces the most restrictive, in this order:
  1. Manual Lock
  2. Rules to Prevent Reduction
  3. Rules to Prevent All Adjustments
  4. Preserve Disbursed Amounts
