Create Student Audiences

domain in the Campus Engagement functional area.
Create either a simple or advanced custom report or a saved search from a search report, and use it to specify the criteria for your student audience.
When deciding between a custom report or saved search, keep in mind the complexity of the criteria that you'll define for the student audience. Custom reports provide more flexibility. Create custom reports for defining complex student audience using calculated fields.
The report creator can share the custom report with other specific users or security groups. Although saved searches are simpler to create, you can't share a save search that you create.
Workday uses student audiences on these tasks:
  • Create Student Engagement Plan
  • Create Student Recruiting Event (Invite Criteria)
  1. Access the
    Create Student Audience
    task.
  2. As you complete the task, consider:

    Select a category for the student audience.

    you select.
    The
    Category
    and
    Used for
    you select must be available on the tasks that use Student Audience.
    Workday doesn't send communications for the
    Category
    of
    Financial Aid
    to students who have opted out of financial aid electronic communications.
    Audience Type
    Select either:
    • Saved Search
      : Workday displays only those saved searches that you created.
    • Custom Report
      : You can view all the shared reports, if you didn't create the report. You can also create a custom report.
    You can share the report with different users in other subinstitutions or departments, so that they can create their own student audiences using your shared report.

  4. (Optional) To change the scope of your student audience, select
    Student Audience
    Edit Run as User
    from the related actions menu of the student audience.
    Student audiences based on custom reports only include students that the assigned
    Run as User
    has security access to.
    Workday automatically assigns the
    Run as User
    role to the user that created the student audience. You can reassign the
    Run as User
    role to a user with different security permissions to include other students in the custom report.
Workday makes your student audience available on the:
  • Student Audience
    prompt on the
    Create Student Engagement Plan
    task.
  • Invite Criteria
    tab of the
    Create Student Recruiting Event
    task.
  • View your student audience using the
    Find Student Audiences
    report.
  • Add your student audience to an engagement plan and send communications to a particular group of recipients. Select your student audience on an engagement plan. From the related actions of your student audience, you can:
    • Inactivate your student audience. Inactivating will cause all plans and events using that audience to stop sending communications.
    • Reactivate your student audience to enable use on future engagement plans and recruiting events.
