Example: Roll Obligation Amounts Forward for Purchase Orders
This example illustrates how to roll remaining obligation amounts forward for purchase orders
from the current fiscal year to the next.
Your fiscal year starts on July 1 and ends on June 30 in the next calendar year. Before the
fiscal year-end, you create and issue a purchase order:
- For 10 laptops with a unit cost of 500 USD.
- For an obligation amount of 5,000 USD.
- With a June 15 document date.
By the fiscal year-end, you have a purchase order that's partially invoiced for 6 laptops. You
want to roll the remaining obligation amount forward.
- Create an obligation ledger.
- Open the next fiscal year.
- Create and issue a purchase order.
- Configure theProcurement Roll Forwardbusiness process and security policy in the Procurement functional area.
- Access theRoll Forward Procurement Documentstask.
- Enter these values:
Option Description Request NameRoll Obligation Forward to Next Fiscal YearCompany or Company HierarchySelect the company for which you created the purchase order.Roll Forward Source Fiscal YearSelect the fiscal year that you're rolling forward from.Procurement Document TypePurchase Order - ClickOK.
- Select your purchase order in theProcurement Documentsgrid and verify that Workday displays these values in theGeneral Informationsection:
Option Description Accounting Date for LiquidationJune 30 in the fiscal year you're rolling forward from.Accounting Date for Roll ForwardBudget Date for Roll ForwardJuly 1 in the fiscal year you're rolling forward to. - ClickSubmit.
When you approve the request, Workday rolls the obligation forward to the next fiscal year
for:
- 4 laptops with a unit cost of 500 USD.
- An obligation amount of 2,000 USD.
From the related actions menu on the purchase order, select to verify that the obligation amount:
- Moves to the next fiscal year.
- Liquidates in the previous fiscal year.
Access the
Trial Balance
report to verify that the encumbrance account
liquidates in the previous fiscal year.
